About the Role

An opportunity has arisen for a talented and experienced Executive Assistant to support our CEO. This role has a strong focus on supporting the CEO and the preparation of board documents.

Some of the key responsibilities include:

  • Managing the day to day operational functions of the Group CEO's office including high quality and accurate management reporting, diary, email and contact management
  • Assisting with the compilation, filing and distribution of Board and Committee agendas, action items, papers and minutes
  • Providing support and assistance for the Executive team where required.
  • Providing timely day to day administrative support efficiently and to a professional standard, ensuring deadlines and objectives are met
  • Ensuring smooth running of weekly EMT meetings, distributing agendas and action items
  • Providing timely and accurate handling of mail on behalf of the Group CEO
  • Ensuring spreadsheets and documents are of the highest standard in terms of timeliness, accuracy and clarity of communication
  • Ensuring effective meeting management, including the arranging of meetings and producing agendas, minutes and meeting papers as required
  • Ensuring a friendly and welcoming reception for the Group CEO's visitors
  • Liaising with key stakeholders and potential stakeholders on behalf of the Group CEO
  • Managing travel and accommodation bookings as required for the Group CEO, Board Directors, Executives and oversee the bookings of other travelling staff.
  • Ensuring completion of expense accounts for the Chair and other Directors during travel
  • Coordinating events on behalf of the Group CEO
  • Maintaining confidentiality at all times

About You

  • Extensive experience in a PA / EA role to a senior manager
  • High standard of professionalism, presentation and attention to detail
  • Strong time management skills with the ability to meet deadlines and manage conflicting priorities
  • Excellent written and verbal communication skills, with the ability to communicate effectively at all levels, both internally and externally
  • Ability to liaise at an executive level
  • Highly developed stakeholder management skills
  • A Proactive attitude to understand potential issues before they arise
  • Ability to maintain confidentiality, tact and discretion
  • Advanced knowledge and experience with computer programs such as Microsoft Word, Excel and PowerPoint
