The Role

An exciting opportunity has become available for a Facilities Administrator to join the Real Estate Services team based in Sydney.  where you will have the chance to be involved in a diverse range of activities.  


Reporting to the Facilities Manager, the successful applicant will be responsible for providing dedicated administrative support in the real estate and facility services operations areas within a specific market, region, or geography.  Support areas will include real estate portfolio, facility operations and service delivery methods, purchasing, and vendor/third party supplier engagement.
 
Key Responsibilities within this position will include:
 

  • Assisting suppliers and internal staff with Facilities and account related queries
  • Provide relief for Reception and Switchboard
  • Preparation and data entry of requisitions for supplier and event payments in the iProcurement system
  • Oversee Concierge functions with approving the Issue of forgotten/lost security cards & maintain security system in conjunction with Facilities Manager
  • Assist with the set up of client and staff meetings/functions as required
  • Office equipment maintenance and ordering. (ie. water filters, dishwasher, etc)
  • Oversee Concierge functions with approving the Issue of forgotten/lost security cards & maintain security system in conjunction with Facilities Manager
  • Ordering and maintenance of stationery, consumables, cafeteria supplies, Cabcharge accounts and office equipment
  • Coordinating contractors for office maintenance
  • Providing assistance to IT for system backup as required
  • Working closely with the Facilities Manager and mail room staff you will also assist with general administration duties and client and staff functions when required.
 
Applicants must have relevant experience in an administration or office support. The successful candidate will have outstanding organisational skills, initiative, attention to detail and a high level of motivation.  Excellent communication skills, self-drive and a strong commitment to team culture will ensure you every success in this role.
 
A tertiary qualification in Business Administration and previous experience within professional services would be highly regarded.
