BUSY At Work is a not-for-profit organisation providing apprenticeship, employment and community programs.
We have almost 40 years' experience providing skilling solutions and services to businesses, workers and job seekers. BUSY At Work provide a wide range of services including recruitment and apprenticeship support services, employment and community services.
ABOUT THE ROLE
This position is part time - 25 hours per week.
Reporting to the Business Manager you will provide administrative support to the Employment Services programs. You will ensure that clients are assisted with their enquiries in a timely & professional manner and ensure completion of all administration & tasks within timeframes set by Business Manage/Team Leader.
PRIMARY DUTIES
- Help meet & exceed team Key Performance Indicators (KPI's) & jobactive contractual obligations.
- Work for the dole administration including acquittals, completing host agreements, AAR management and compliance.
- Lead & support the administrative team in day-to-day quality service delivery.
- Ensure all customer contacts to BUSY At Work are assisted with their enquiries in a timely & professional manner.
- Ensure completion of all administration & tasks within time fames set by Business Manager/Team Leader (eg. WFD acquittals completed).
- Assist with the initial jobseeker registration process.
- Assist jobseekers and jobseeking equipment.
- Ensure coordination of filing & archiving of jobseeker & employer files coordinated (in partnership with Corporate Services).
- Ensure reception & Community Desk areas are kept tidy & presentable at all times.
- Assist Job placement Consultants with job match, marketing /telemarketing & job referral.
- Positively promote the organisation at all times.
- Apply ethical principles to carry out all duties & responsibilities.
- Other duties as directed by the Business Manager/Team Leader or Regional Manager
KNOWLEDGE, SKILLS & EXPERIENCE
- Demonstrated ability to achieve Key Performance Indicators.
- Superior customer focus, including empathy for people experiencing unemployment & other disadvantages.
- High level of data entry experience with high degree of attention to detail.
- Sound written & verbal communication skills.
- Ability to work under & adhere to quality & contractual requirements.
- Ability to be flexible in the workplace & undertake adhoc duties.
- Ability to manage a high workload ensuring priorities are met at all times.
- Ability to deal proactively & pragmatically with jobseekers who may be in an agitated, anxious or aggressive state (or support other administration staff in this task).
- Sound working knowledge of technology including computer & data entry skills (e.g. Microsoft Office suite, databases such as Smartclient, etc).
- Customer service principles.
