About the role

The Training Administrator role is responsible for providing administrative support to the Training Manager and to Youth and Adult members in Scouting as well as assisting with the effective delivery of the youth program across Victoria.

Key functions of the role will include:

  • Process training course enrolments and prepare, maintain and distribute course materials
  • Maintain course calendar
  • Liaise with trainers and other third parties as required and book venues and caterers
  • Print attendance certificates, TR1’s and course reports
  • Under direction from Training Manager & State Commissioner Adult Training & Development, respond to all email, service desk and telephone requests
  • Enter data into various databases as required including in-service records, technical skills, course completion records, advanced evaluations and projects, and first aid certificates
  • Assist with youth member enquiries about youth courses
  • Create and cancel invoices in Extranet as required
  • Ensure all VSC meeting and training facilities are clean, tidy and prepared for use including setting up facilities with materials as required by the user
  • Receive invoices and forward to appropriate personnel for checking
  • Process course completions on the the data base

About you

  • Experience in general office administration tasks
  • Demonstrated ability to meet reporting deadlines
  • Experience with timetabling, calendar and diary management
  • Proficiency with Microsoft Office suite of products
  • Experience gained in an adult training environment is desirable
  • Strong organisational and coordinator skills
