Executive Assistant

Overall Mission of the Position

Provide administrative support to Partners and Principals in the consulting practice.  Coordinate administrative requirements for consultant teams when required.  Contribute as a team member to the overall culture of A.T. Kearney locally and globally.  Proactively get involved with all aspects of the office services, consulting and business development activities.

Value Delivery

Personal Assistance to Senior Management (Partners and Principals):

  • book flights, accommodation, ground transportation, ensuring best scheduling and best fares
  • proactively manage diaries
  • set up meetings including phone and video conferences; coordinate times, arrange venues, organise catering
  • reconcile and submit online expense reimbursement claims and timesheets
  • set up mentor programs as required; schedule meetings with individual mentees or groups
  • ensure that performance documents for mentees are completed – keep a schedule of Engagement Performance Evaluations and follow up
  • coordinate and assist with individual marketing initiatives as agreed with Partners and Principals including arranging client meetings and distributing firm collateral
  • monitor Managers’ phones and mailboxes as agreed
  • undertake personal tasks and errands as agreed to assist Managers to make the best use of their time

Engagement coordination – EAs may be asked to assist in some or all areas of a project throughout the life of the project including

  • co-ordinate and execute engagement start up and follow up documents (proposal, engagement letter, contract, engagement form, rate variances, budget revisions)
  • check WIPs on a regular basis as agreed and follow up to ensure that timesheets and expense claims have been submitted correctly
  • arrange team travel where appropriate
  • assist with report production when required 

Shared Office Responsibilities

  • assist with setting up, catering and clean up for client and internal meetings and events
  • assist with arranging firm building and client functions including internal social events, in house and off site training as well as marketing and alumni functions
  • ensure office space, meeting rooms and kitchens are kept clean and tidy throughout the day
  • assist with answering phones and welcoming visitors
  • work as a team with other AAs to cover peers’ responsibilities when they take leave

Educational Background

  • Higher School Certificate or equivalent
  • Business Administration training

Professional Experience

  • A minimum of 5 years’ of relevant administrative experience
  • Extensive experience with Microsoft Office software packages

Skills Profile

  • Good knowledge of job relevant Microsoft Office skills (PowerPoint, Word, Excel, Outlook)
  • High level of customer service orientation
  • Professionalism and maturity
  • Ability to work independently and establish personal work flow patterns
  • Highly developed organisational skills and attention to detail
  • Proactive in recognising and anticipating needs of the work group
  • Good communication skills, both verbal and written
  • Ability to establish relationships at all levels within A.T. Kearney
