An excellent opportunity has arisen for an experienced Personal Assistant to provide high-level executive support to the Finance and Reporting Division.
Client Details
Our client is a reputable State Government agency who is responsible for the management of the NSW Government’s social housing portfolio. They own and manage land, buildings and other assets within the social housing portfolio, which is valued at over $35 billion within New South Wales
Description
The key responsibilities will include:
- Provide a range of administrative activities and office services that contribute to the efficient and effective operation of the team/unit
- Manage the manager’s diary appointments, records and correspondence, reporting, coordinate travel arrangements to facilitate the effective management of their agenda
- Schedule, organise and support meetings to enable smooth management and effective recording and implementation of actions
- Provide customer service and reception duties as required, to act as a first point of contact for the business unit to ensure issues are resolved or escalated appropriately.
- Assess and prioritise requests to facilitate the optimal use of the manager’s time
- Use relevant technology to prepare documentation and presentation material to support business unit managers and directors.
- Draft and prepare correspondence, agendas, minutes, presentations and briefing notes to support the achievement of business requirements
- Gather, collate and provide background information for the manager to support informed decision making and planning
- Manage and process business information in accordance with standards and guidelines to ensure all information is accurate, stored correctly and accessible as required.
Profile
The successful candiate will have:
- Proven 3 years of working experience as an EA/PA in a similar government environemnt
- Competence in utilizing SAP, such as, creating purchase orders, goods receipt orders, processing invoices and payments
- Competence in utilising TRIM/CM9 record management system, to store and access records, to create records in accordance with conventions and do advanced searches
- Effective written and verbal communication skills - ability to draft emails, send meeting invitations and be responsive to requests
- Competence in using MS Office Suite
- Competence with Excel to create tables with common formulas, apply formatting to cells and spreadsheets, sort and filter data, create pivot tables and charts
- Impeccable Presentation
- Strong attention to detail
