About the Business
The group is an ASX-listed real estate investment and funds management group based in Brisbane's CBD with plans to grow assets under management considerably. We provide comprehensive real estate and property management services for a portfolio of commercial and industrial assets. We also arrange and invest in real estate debt.
The Role
The Business Administration Officer will work closely with all teams to provide administration support and assistance. The role will be responsible for the organisation and coordination of office operations, procedures and resources to facilitate organisational effectiveness and efficiency.
The Business Administration Officer will be responsible for (but not limited to) the following activities:
General Office Management
- Acting as the first point of contact – answering phones, greeting clients, and assisting investors with basic queries
- Daily collection, logging and distribution of mail
- Ensuring office supplies are maintained – stationery, kitchen and office equipment
- Managing service provider relationships and contracts (photocopier, phones, internet, mobile phones, parking etc.)
- Liaising with directors and assisting in board meeting coordination
- Providing meeting assistance – organising materials, preparing the boardroom, organising tea/coffee/catering etc.
- Providing document formatting and collation support, including managing the scanning, filing and archiving process for all teams
- Managing travel arrangements
- Organising external and internal events
Executive Support
- Providing personal administrative support and assistance to the Executive (Directors, CFO, General Counsel, Heads of Department)
- Assisting with ad hoc projects as directed by Senior Executives
IT
- Liaising with the external IT company to log staff IT issues
- Managing the company IT requirements
- Providing IT assistance and troubleshooting to team members
Other Support
- Assisting with tenant correspondence preparation and sending, when required
- Assisting the finance team with invoice collation and data entry, when required
- Reconciling the corporate VISA and petty cash monthly
Skills and Experience
Essential
- Previous administration or reception experience
- Strong communication skills
- Proficiency in the Microsoft Office Suite
- Excellent organisational and time management skills, with the ability to deal with several matters at once and work to strict deadlines
- Strong customer service skills and high degree of attention to detail
- Positive professional attitude and approach to work
- Ability to learn new tasks quickly and to work autonomously
Desirable
- Previous experience in a property funds management organisation or professional services firm will be highly regarded
Remuneration
A salary package will be negotiated commensurate with your qualifications and experience.
