THE ROLE
This business critical, permanent full-time role based in Sydney CBD, will suit a proactive, experienced senior Executive Assistant. The role will appeal to those with an ability to work autonomously as well as in team.
The successful candidate should have a desire to work closely with their Director(s) / Principal(s) to develop the business and embrace the challenge of establishing relationships and setting up meetings with new clients. In addition applicants require exceptional interpersonal skills; an ability to prioritise and problem-solve coupled with sharp attention to detail and a strong customer service attitude. Managing diaries to align with clients’ busy schedules will require diplomacy coupled with tenacity. Being highly organised, efficient and self-motivated is a necessity.
As well as assisting/supporting with business development tasks, a major part of the role is to take as much of the administrative parts of the Directors role away from them, including managing their email box and replying to routine emails.
Key Responsibilities
Diary management (Be a step ahead of your Director / Principal and look to anticipate their needs) - Proactive diary management – accounting for travel, location of meetings, meeting follow ups, etc
Support Director/Principal with business development activities as stated below:
- Follow up, by phone or email, on introductory emails and determine best approach to secure meetings with new contacts
- Regular review of existing contacts and follow up to schedule meetings
- Weekly review of Business Development activities with Director(s) to determine priorities and problem solve issues
- Company and contact research to:
- Maintain Salesforce data integrity – loading new opportunities onto Salesforce
- Assist with Business Development campaigns (under guidance of Director)
- Brief Director on companies and contacts in preparation for meetings
- Monthly Salesforce statistics report sent through to PIP Central Support
People Development (Support the Director to deliver on their Development Leader and People Management responsibilities)
- Schedule regular meetings with PIPers
- Track development plans and performance reviews
Logistics (Proactively team up with your Director/Principal to maximise their time)
- Travel and accommodation (Flights, care hire, etc)
- Unique needs (get to know what will help them be successful in their role)
Other Duties
- Conference calls using Webex/Join.me – setting this up for meetings
- Ad-hoc excel analysis and creating appropriate graphs·
- Submitting expense claims
- Submitting timesheets
THE CANDIDATE REQUIREMENTS
Essential:
- 10+ years’ experience working in similar roles supporting at Director/GM or Head of level.
- High level organisation and administration experience
Desirable:
- Experience using Salesforce or other similar CRM
- Experience working remotely from Director/Principal
- Professional Services Industry sector experience
