About the role

Responsibilities:

  • Interact with clients on a daily basis via email and phone;
  • Review and prioritise emails, answer correspondence, prepare and edit internal and external correspondence;
  • Diary management and scheduling of Meetings for Director and Client Manager;
  • Travel arrangements - all work related travel arrangements including flights, accommodation, itineraries and ensuring adequacy and cost effectiveness of all arrangements;
  • Take minutes during client meetings and maintain information;
  • Review correspondence to the Director and Client Managers from external parties and respond appropriately under Director and Client Manager guidance;
  • Prepare documentation for meetings and distributing it for internal team members
  • Collate expenses and liaise with accounts; 
  • Obtain key information for Director and Client Manager including comparable rents, demographics;
  • Liaise with clients, landlords and centre managers regarding existing leases and new leases;
  • Projects as required by the company directors from time to time.

Skills and experience

  • Previous PA experience
  • Proven ability to manage deadlines and prioritise work
  • Superior attention to detail and ability to follow up outstanding items
  • Self motivated with strong work ethic and commitment to continuous improvement
  • Intermediate to advanced Microsoft Office Suite skills- MS Word, Excel and PowerPoint
  • Excellent verbal and written English
  • Strong attention to detail with the ability to multitask
  • And finally, a sense of humour is a must!
