The Australian Clinical Trials Alliance(ACTA) promotes effective and cost‐effective healthcare in Australia by supporting clinical trials networks and clinical quality registries that generate evidence to support decisions made by health practitioners, policy‐makers, and consumers.

ACTA is a not-for-profit company limited by guarantee, recently funded by the Australian Government's Medical Research Future Fund. We are now recruiting to substantially strengthen our team.

POSITION DESCRIPTION:

The Events and Communications Coordinator (the Coordinator) will be a valued member of the ACTA team, responsible for effective, end-to-end planning and delivery of events, and supporting stakeholder communications generally. The Coordinator reports to the Communications Manager.

Under the direction of the Communications Manager, the Coordinator will:

  • Deliver a high quality and efficient events program
  • Develop risk and safety management plans in consultation with the Communications Manager and General Manager, as they relate to events, and ensure compliance with all relevant processes and procedures
  • Develop and disseminate promotional materials and information relevant to the events program and assist with preparation of presentations for events
  • Effectively use online event ticketing services
  • Coordinate event materials and management of physical resources, event equipment and supplies
  • Prepare written material to be published by ACTA as part of public communication campaigns (to clinicians or the general public), to ACTA members (e.g. newsletters), or media outlets (e.g. media releases).
  • Assist in the maintenance of the ACTA website and contribute to social media communications
  • Comply with Occupational Health and Safety and Environmental Health and Safety responsibilities as outlined in ACTA’s policies

Term: The position will run until July 2019, with possible extension should ACTA secure ongoing funding by that date.

Salary: Salary will be offered commensurate with skills and experience within the range $65,000 to $80,000.

Qualifications:  

A relevant tertiary qualification or an equivalent combination of relevant experience and education or training.

Selection criteria:

Essential (to be considered, you must address the selection criteria):

  • Evidence of at least two years’ experience and success in all aspects of event planning, promotion and delivery – from small workshops to 200-plus-delegate conferences, including:
    • budgeting
    • program development
    • national and international speaker liaison
    • development and deployment of online and printed event registration, promotional materials, conference handbooks, speaker profiles, sponsor prospectus, etc.
    • venue and catering selection and coordination
    • pre and during-event and coordination
  • Excellent computer skills in Word, Excel and a relevant CRM package, social media, website maintenance (using a mainstream CMS), and member communications (Campaign Monitor/MailChimp)
  • Excellent planning and organisational skills
  • Ability to work productively within a small team
  • Well-developed communication (written and oral) and interpersonal skills.
  • Excellent attention to detail and proof-reading skills
  • Demonstrated competency in delivery of excellent customer service to a diverse range of stakeholders
  • Ability to multi-task and meet deadlines.

Desirable:

  • Experience in international event planning and delivery
  • Successful webinar production
  • Experience using Adobe Creative Suite - not necessarily for design, but to facilitate working with designers and photographers
  • Knowledge of the Australian health sector, particularly clinical trials or research.
