- We provide therapeutic, trauma informed support to foster carers and families/whanau and the children and young people in their care
- Full time (40hrs), office based in Auckland
Key Assets – The Children's Services Provider is a dynamic not-for-profit community service organisation providing high quality, innovative out of home family and community based placements for children and young people with varying needs and behaviours. Established in 2007 our service has grown within the North and South Islands.
Key Assets has an exciting opportunity to join the friendly and inclusive team as the OFFICE MANAGER based in the main office in Manukau.
About the Role: OFFICE MANAGER
As the OFFICE MANAGER you will co-ordinate and manage Key Assets business and administrative functions across the North and South Islands in an effective and efficient manner. This post will also have sole responsibility for key financial and HR functions.
This role will report to the Operations Manager and Director
About You
To be successful you will have a strong understanding and solid skills relating to Business and Administrative functions. You will also have in-depth knowledge of accounts/accounting principles, computer literacy and display excellent attention to detail.
We are looking for someone who is an excellent communicator and someone who will fit in well within the team and have the ability to prioritise their workload and consistently meet deadlines.
Responsibilities
- Be responsible for the delivery of business and administration services, including quality assurance in office policies and procedures
- Manage and oversee the functions and daily tasks of other administrative staff
- Manage HR functions; Personnel Records, Payroll Records, Recruitment and Selection process and liaise with HR in Head Office
- Book keeping/finance functions; MYOB Accounts Payable/Receivable/Supplier payments, Reconciliations, Petty Cash management, Journal Entries, Bank Transactions, Carer payments and expenses, staff reimbursements, timesheets, staff payroll, Month End transactions, and liaise with the Financial Controller in Head Office
- Management of NZ Fleet vehicles
- Other Business requirements - Management of administrative records, Building/s maintenance across the country, Health and Safety processes, IT problem solving, management of reception functions, organisation and booking of meetings, training, events, conferences and seminars and management of staff equipment in conjunction with specialists in Head Office.
Experience and Skills Required
- Hold a qualification in Office Administration, HR and Finance or similar
- Have proven experience in Office Management, HR and Finance functions + experience in MYOB is an advantage
- Be self-motivated, able to work independently and in partnership with key people within the organisation both in NZ and Head Office
- Demonstrate excellent personal and professional communication skills, have the ability to multitask and work under pressure
- Have experience in managing other staff in a supportive and fair manner
- Have experience in devising quality assurance systems and polices & procedures
- and you will possess excellent planning, organisation, problem solving and decision making skills
- Some experience in working within a welfare/care environment is desirable.
