Job tasks and responsibilities

The APAC Corporate Services team is a multi-disciplined central function responsible for Corporate Real Estate, Engineering, Facility Management services & Sourcing. They work closely with Head Office & with the region's appointed Facilities Management partner. The team is committed to providing a safe, secure & integrated workplace environment. They have a clear objective of generating cost savings through efficiencies & economies of scale & establishing a control & governance framework closely aligned with all relevant standards.

The successful candidate will report to the COO locally & the Regional Head of Corporate Services & will be responsible for:

Oversight & Coordination

  • Enhance and/or develop all policies & guidelines;
  • Manage local budget;
  • Complete all regulatory & internal reporting & audit requirements;
  • Identify & drive any cost-savings initiatives.

Real Estate:

  • Lead the restack of the existing office space in anticipation of business growth from design through to execution, integrating relevant components of the regional "New Ways of Working" project & local requirements (incl. engagement of external providers, internal RFP process, local coordination, change management, …);
  • Lease management & active monitoring of market intelligence on property market;
  • Coordination & monitoring of data for regional & global dashboards.

Facilities Management, Engineering & Security:

  • Oversee management of the local team (1.2 FTE) from our Facilities Management partner & manage the relationship with their Country Team Leader;
  • Liaise with landlord to ensure all relevant information is being shared appropriately & concerns escalated in a timely manner;
  • Lead the full scope of Facilities Management services including document storage management, inventory & asset management, & insurance policies;
  • Oversee all local engineering matters relating to critical environment, equipment maintenance management & energy usage monitoring;
  • Ensure that security set-up is aligned with corporate & regional standards & requirements relating to policies & practices, equipment, monitoring & reporting;
  • Work with the Business Continuity Manager to ensure that all relevant actions in place with respect to the disaster recovery sites & to coordinate crisis management activities.

Sourcing:

  • Work in close collaboration with the regional team & local Department Heads to ensure all corporate guidelines & processes are implemented with respect to the engagement of all external vendors in Australia;
  • Establish & review the contracts or agreements established with all vendors related to Corporate Services & Facilities Management.

Skills and experience

Key skill areas & knowledge required

Proven experience in Corporate Services in a multinational corporate environment.

Technical skills:

  • Previous experience in the oversight of electrical and mechanical systems including critical environment building systems
  • Supervisory experience in all aspects of facilities management
  • Previous experience in the delivery of restack projects with multiple stakeholders and strong knowledge of workplace environments
  • Good knowledge of legislation relating to building management and maintenance
  • Proven project management skills
  • Computer skills: Good knowledge on Excel, PowerPoint, Access

Soft skills:

  • Ability to comprehend, analyse and interpret technical issues and deliver key messages to decision makers and stakeholders
  • Strong sense of accountability and ownership
  • Ability to understand the needs of multiple stakeholders and deliver solutions which can best respond to those needs
  • Strong communication, interpersonal and change management abilities
  • Capacity to work in a fast-paced environment on a broad range of rapidly evolving issues
  • Strong organizational and people management skills

Qualifications

  • University degree or equivalent professional qualifications and experience
