The Role

AECOM has an exciting opportunity for a full time, fixed term position (3 years) in the role of Property & Leasing Coordinator at their Alice Springs facility, with the possibility of extension.

Reporting to the Business Operations Manager, in this role you will coordinate the effective management of the property and leasing team and related functions which will include the alignment and review of policies and procedures and fostering relationships with key stakeholders both internal and external.

The primary responsibilities of the Property & Leasing Coordinator include, but are not limited to:

  • Management of VESTA’s property portfolio
  • Ensure the business relationship with our clients is cultivated and handled in a professional manner  
  • Oversite and preparation of leasing paperwork: Head Lease, sub-lease and offer and acceptance documents
  • Attend court and represent the agency in any serious conflict resolution matters pertaining to Property management
  • Provide a full property update handover for new properties to both the PM and BOM in line with reporting metric deliverables
  • Preparation and leading daily lean/toolbox meetings with the team every morning prior to commencing daily tasks
  • Prepare daily arrears, lease renewals, offers and any noteable issues to management on a weekly basis
  • Prepare and deliver weekly reporting to the Business Operations Manager and Program Manager regarding current portfolio numbers, KPI’s, feedback, complaints, performance, arrears and any other matters that may arise
  • Arrange for repairs and maintenance if necessary, through the Property Tree portal in conjunction with the agent of the property
  • Continual development and documentation of policies, procedures and programs to facilitate best practice property management and property maintenance
  • Compliance with legislative and policy obligations regarding property management and property maintenance
  • Provide supervisory leadership to a designated team, including the coordination of timesheets,  recommending and coordinating leave and training plans, and addressing minor matters pertaining to  workplace discipline and standards 
  • Advise Business Operations Manager of localized issues relating to safety, security, official visitors and conduct  related matters as appropriate
  • Demonstrate a positive approach towards Equal Employment Opportunity and Equity principles and policies

  • Other duties as directed by the VESTA Management team 

 

About You

  • Demonstrated high level negotiation and interpersonal skills
  • Highly developed oral and written communication skills and a high level of computer literacy
  • Demonstrated ability to show initiative, make effective decisions and excellent problem solving skills
  • Proven project management skills and experience
  • Demonstrated ability to meet deadlines and work under pressure in a changing environment
  • Knowledge of relevant legislative and statutory requirements of property management
  • Demonstrated ability to lead and manage a diverse team and manage the use and allocation of resources to deliver results

 

Qualifications

  • Current unrestricted drivers licence
  • A Northern Territory Real Estate Agent and Business License (or a mutually recognized equivalent)
  • Australian Government NV1 Security clearance or ability to gain one
