The Lost Dogs' Home is one of the country's largest animal welfare organisations, caring for more than 25,000 cats and dogs each year. We pride ourselves on employing qualified individuals who demonstrate a strong personal connection to animals, the community and the cause.

We are currently looking for a dedicated part-time Customer Service Officer. This role is based in our private clinic located in North Melbourne and is a great opportunity for an experienced veterinary receptionist who understands the Home’s values and is passionate about animals. This role is the client’s first contact with the clinic and represents and projects the professional image of the practice to callers and visitors.

Key responsibilities include:
  • greeting clients and patients informing of expected waiting time
  • receiving, screening and redirecting all incoming calls
  • scheduling appointments including reminder information
  • organising clients charts for appointment including updating and preparation
  • completing consent forms and verifying client/patient information
  • using the computer software accurately and efficiently
  • maintaining the appearance and cleanliness of the waiting area, consult rooms, pharmacy and reception area reporting any required repairs
  • restocking products, office supplies, client education material, hospital brochures in reception and consult rooms
  • answering any enquiries regarding products and routine medical care ie vaccinations, de-worming, pre-surgery care, flea treatments etc
  • providing treatment plan estimates
  • preparing invoices, process payments, reconciling cash drawer, depositing funds and various reports
  • assist grieving clients as required
  • administration duties including filing, mailing reminders and patient records as required
The successful applicant will have:
  • completed Certificate in Office Administration or similar (preferred)
  • sound computer skills
  • basic cash handling experience
  • experience working as a receptionist in a busy clinic environment
  • a warm, friendly and caring attitude towards clients and their pets
  • the ability to provide knowledgeable healthcare advice for owners
  • excellent customer service skills
  • the maturity to professionally liaise with a broad customer base
  • a proven ability to be a team player
  • flexibility to work weekends as required
