About the business and the role

As an Administrative Assistant (part time) at Private Wealth Partners, you're passionate, positive and motivated to add to the success of our business. You're the face of our client interaction, the heart of our team's daily business operations, and the soul that keeps our team moving forward. You anticipate the needs of your manager and their clients; you help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date with the latest Private Wealth Partners products and services and you are across the client experience. You also use that knowledge to strategically support your team's projects. In addition to being organised and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of clients, referral partners, as well as key job functions.

Job tasks and responsibilities

Specific duties include but are not limited to:

  • Assist with client queries.
  • Assisting in preparation of Statement of Advices, PowerPoint presentations & relevant paperwork/applications.
  • Administrative tasks associated with Self-Managed Superannuation Funds.
  • Liaise with Fund Managers, Superannuation Providers, Brokers and other third parties.
  • Assisting in asset transactions.
  • Preparing client reports & mail outs.
  • Editing of Adviser reports and letters as well as corresponding directly with clients.
  • Collating tax information for clients and dealing with Accountants.
  • Assisting with insurance quoting & applications.
  • General administrative duties.

Skills and experience

The Ideal Candidate must be/have:

  • Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
  • Basic xPlan experience.
  • Excellent verbal and written communication.
  • Attention to detail and problem solving skills.
  • Excellent time management skills and ability to multi-task and prioritise work.
  • Ability to work in a fast paced environment and able meet deadlines.
  • Ability and passion for working autonomously and in a team.
  • Ability and drive to turn problems into solutions.
  • Interest in using technology and the Internet to improve work efficiency.
  • Polished personal presentation and equal attention to professionalism with client interactions on phone and in person.
  • Desire to take advantage of learning opportunities.
  • A positive attitude with solid drive to advance career.
  • Minimum 2 years' experience in the finance industry.  Training will be given but we are looking for someone who already has a sound knowledge of this sector.

Also highly regarded will be:

  • Advanced Xplan experience
  • RG146 completed or being completed
  • Ability to start as soon as possible would be ideal
