The HR & Talent Assistant is a diverse and exciting position which plays a key role within our small, busy head office Human Resources and Talent Acquisition team.  Providing day to day administrative support to the HR & Talent team, the role is the guardian of administrative procedures ensuring HR operational processes and procedures are developed, implemented and carried out in accordance with the WPP AUNZ people strategy, relevant policies and current legislation.  This role requires exceptional attention to detail and organisational skills. There is always a lot to juggle with a large volume of work, the pace is fast!

This role reports to the Chief HR & Talent Officer, WPP AUNZ.

Measures of success:

In three months, you are:

  • Developing open, frank and positive relationships with colleagues throughout WPP AUNZ
  • Building a solid understanding of WPP AUNZ, and our Operating Companies, and their policies and procedures
  •  Demonstrating a strong eye for detail to ensure accuracy and consistent delivery on all documents produced

In six months, you are:

  • Building trusted relationships with the agencies and the HR community, having built credibility as reliable and responsive
  • Developing a sound knowledge of the differences between WPP AUNZ Operating Companies, job roles and responsibilities
  • Thoroughly understanding the WPP AUNZ structure, businesses, and capabilities
  • Developing a solid relationship with the other WPP AUNZ Talent team members
  • Delivering a high quality and consistent HR administration service across the team and the group
  • Supporting the Chief HR & Talent Officer with projects around the deployment of a HRIS and the Head of Talent Acquisition with the implementation of a new candidate database (ATS)

In 12 months, you are:

  • Owning the contract drafting process and providing the highest level of service to clients as well as meaningful human capital metrics and data for robust decision making
  •  Being the first point of contact for all enquiries into the HR & Talent Team
  • Maintaining good working relationships with main contacts
  • Widely respected and trusted

Responsibilities of the role:

  •  Assist and support the Chief HR & Talent Officer, Head of Talent Acquisition (TA) and HR Manager and TA team on a day to day basis, including the preparation of letters communicating information to employees following changes in terms and conditions and any other documentation
  •  Assist in the collection of data and feedback from the HR community, to contribute towards projects and business cases
  •  Assist in the maintenance of the candidate database / ATS used by the TA team, including coding of applicants, job advertisement posting and management, and candidate file management 
  •  Support the TA team with the candidate vetting process including organising reference checks, employment verification and background checks.
  • Assist in the organisation of interviews, and communicating with applicants during the hiring process (when required)
  • Ensure the HR team are kept informed of any HR issues which may require their involvement or which may impact on the on-going talent strategy planning and development
  • Provide constant feedback to the team on any aspect which may affect the success of the HR & Talent team, always retaining an awareness of the bigger picture
  •  Be an effective, committed and participative team member in order to provide a first class service to the group; contributing to the continuing development of the HR & Talent team
  •  Consistently demonstrating situation sensitivity and confidentiality to ensure that the HR & Talent team is seen as a trusted and valued team within the organisation
  •  Ensure accurate expense management including close liaison with our Group finance team to ensure smooth running of the team
  •  Ensure all relevant Sarbanes Oxley Compliance procedures and processes are followed, adhered to and evidenced at all times

 

 

Qualifications

What you will need:

Candidates will have an excellent organisation and administrative skills, as well as knowledge of a range of HR functions including talent acquisition, learning and development, and reward.  A good understanding of WH&S legislation and industrial relations is an advantage. You will be interested in ‘the world of recruitment and HR’ and in ‘what makes people tick’.   • Comfortable with ambiguity - flexible and adaptable with a willingness to learn and ‘muck in’ where ever needed
