An opportunity has arisen for an experienced administrator with a strong background in office support to join our team as a Regional Administration Officer in our Newcastle office. This role will be instrumental in managing the administrative and financial functions across the Northern NSW/ACT region.

Reporting to the Service Manager, you will complete varied work, including:

  • Acting as primary contact for clients (via phone, email and face-to-face) and liaising with clients and specialists to manage appointment schedules;
  • Data entry responsibilities and extracting of reports in the CRM;
  • Editing and formatting of written reports to ensure a professional standard and presentation;
  • Keeping up to date with local opportunities to promote the services of Guide Dogs NSW/ACT and supporting these activities;
  • Coordinating team meetings including agendas and taking of minutes;
  • Undertaking routine financial tasks including creating purchase orders, checking and coding invoices and expenses claims; and
  • Other administrative and coordination duties such as project work, booking travel and accommodation arrangements, office and stock supplies and mailing duties.

To be considered for this opportunity, you must demonstrate (the selection criteria):

  • Prior experience in an administrative or office support environment is highly desirable;
  • Completion of an administration qualification would be highly regarded;
  • Superior customer service skills and ability to liaise professionally and sensitively with clients whilst maintaining confidentiality;
  • A friendly and flexible approach - a real team player;
  • Strong interpersonal and communication skills to liaise effectively with a range of people internal and external to the organisation;
  • Strong MS Office skills in Word, Excel, Outlook and PowerPoint;
  • Ability to organise, prioritise and complete the duties assigned; and
  • Capability to work under the direction of others, work alone and to take ownership of tasks to meet the needs of the team.
