An exciting opportunity has become available for an experienced Executive Assistant to join QBE and support the Chief HR Officer ANZO, located in Sydney. As an experienced and highly effective EA, your ability to engage across all levels of the business whilst maintaining a high level of discretion will be crucial to your success.

The Opportunity:

  • Provide executive level secretarial and administrative support
  • Complex diary management and scheduling appointments for the Executive, including business and travel arrangements.
  • Prepare correspondence, reports, spreadsheets, briefing papers and presentations for meetings/conferences
  • Demonstrate awareness of the annual departmental business plan to ensure that work activities are aligned to, and support its achievement
  • Monitor and review administrative operating systems and procedures and make recommendations for changes as appropriate
  • Screening telephone calls, fielding enquires and requests and escalating urgent matters for Senior Executive's attention
  • Dealing with a wide range of contacts at all levels, from within and outside the organisation
  • Produce correspondence, presentations and reports both of a general and confidential nature on behalf of CEO and executives
  • Provide support with preparation of board reports
  • Communicate with the organisation's Executives, Executives of external organisation’s, Board members, suppliers and clients

What does success look like?

  • Previous experience in an Executive Assistant position, supporting a Senior Executive or Managing Director
  • Broad knowledge of administrative processes
  • Strong organisational and administration skills
  • Ability to liaise at an executive level, work under pressure and multi-task
  • Strong attention to detail in correspondence and accuracy in all activities
  • Strong MS Office skills and experience in developing executive presentations
  • Discretion when dealing with sensitive information
  • Experience in accurately managing itineraries and travel arrangements
  • Enthusiastic, engaging and ability to build successful relationships at all levels
