About the Role

The role of Executive Assistant supports the CEO of the BOQ Specialist business as well as the wider team with organisational and administrative arrangements.

  • EA to CEO of BOQ Specialist business with Extensive diary and travel management
  • Expense reconciliation & approvals
  • Administrative functions for members of the management team including arranging meetings, booking flights and accommodation
  • Use initiative in regard to arranging meetings to discuss various issues in the team and to facilitate team communication
  • Ad hoc responsibilities as required to assist broader teams on an ongoing basis
  • Coordinate agendas for Leadership Committee meetings; attend meetings to note actions and decisions
  • Assist with the preparation of presentations as required

Drive the monthly internal awards programme - communication to the business, award preparation, morning tea coordination.

 

About you

  • Demonstrated proven experience in an EA capacity
  • Proficient in MS Office software
  • Creativity, initiative and drive
  • Strong project management skills
  • Comfortable working in an open-plan office environment supporting multiple stakeholders
  • The ability to think independently, analytically and logically
  • The ability to work well in a multidisciplinary team environment
  • Ability to use initiative
  • Exceptional level of communication ability and rapport building
  • Ability to manage multiple activities in a fast-paced environment
  • Ability to effectively communicate and collaborate with own team, internal stakeholders, suppliers and key stakeholders to deliver high quality business outcomes
