Primary Focus

The focus of this role is to work closely with the Business Support Manager to provide PA support and also commercial and administrative support to the Office Services team in our Sydney office of 800 people.

The role requires a broad skill base, problem solving ability, excellent interpersonal skills, and a high level of adaptability, organization and common sense.

Key Responsibilities

PA support to the Business Support Manager

  • Be the focal point of contact for all persons seeking the Business Support Manager – you will be the lynch pin
  • Email and creative diary management for ever changing priorites
  • Management of correspondence
  • Electronic filing
  • Processing personal expense claims and credit cards reconciliations

Commercial (financial management) administration

  • Work closely with team leadership to assist with managing the team financials ($5.5m budget)
  • Prepare financial reports and spreadsheets
  • Coordinate the coding of supplier invoices and assist with the processing/approval of supplier invoices and raise and issue invoices for hosted parties and other special purpose items

General administrative support

  • Update and maintain team records including training records, scorecard and org charts
  • Prepare reports, letters, presentations and emails as requested
  • Organise and manage domestic and international travel bookings, including accommodation and visas where required
  • Book meetings, organise suppliers and catering
  • Regularly review processes to ensure ongoing improvements are identified and implemented
  • Participate in office networks and meetings
  • Contribute to the smooth operation of the office by assisting with tasks across all aspects of the team’s remit during periods of peak workload or team member absence as delegated to you from time to time

Key skills, experience & attributes required

  • 3 to 5 years similar experience
  • Excellent written and verbal communication
  • High attention to detail
  • Ability to adapt quickly with ever changing priorities
  • Inter to advanced MS Office
  • Experience using multiple databases/CRM’s
