Description
Working closely with the Support Services Manager, your key responsibilities will be:
- Provide a full range of administrative support services including; creating, maintaining, storing, retrieving and monitoring files through effective use of the TRIM system
- Supporting preparation of project documentation
- Complying with all procurement policies and procedures for timely receipting of contractor timesheets, receipting invoicing goods, raising purchase orders and payment of invoices and reconciliations
- Preparing timely and accurate information as required, reports, draft letters and documents, take and prepare meeting minutes and agenda and distribute
- Copying, distributing and filing documents
- Diary management and setting up meetings
- Ordering stationery, catering and office management
- Managing security passes and access, new starter's requirements (access passes, network access)
- Mobile phone and vehicle management
- Meeting room booking and administration
Profile
The successful candidate will have:
- Demonstrated experience in providing administrative support with minimal supervision in a busy and changing environment, especially experience in State Government.
- Ability to use initiative and maintain a high degree of confidentiality, discretion and judgement while maintaining a strong customer service approach.
- Problem solving and analytical skills to identify issues and develop solutions.
- Good communication (verbal and written), interpersonal and negotiation skills for working collaboratively across all levels and advising Managers and employees about policies, procedures and instructions.
- Demonstrated strong organisational and time management skills with the ability to plan, prioritise and complete work within allocated timeframes.
- High level of computer literacy and ability to use modern software packages.
- Intermediate to Advanced Excel skills are must
- Demonstrated ability and experience in office systems and procedures, including records and office management with ability to prioritise and complete work within allocated timeframes.
