Executive Assistant job supporting a Branch Head in a Federal Government Department
Your new company
This Federal Government Department sub agency is currently seeking a dynamic Executive Assistant.
Your new role
You will be engaged at the APS4 level on a non on-going contract for an initial 3 month period for view to extend. You will be directly responsible for providing close support to senior staff within the branch.
This role will see you provide high level executive support in a modern and vibrant office environment.
You will be responsible for supporting a Branch Head but will also be comfortable supporting multiple Branch Managers during periods of leave. On a daily basis, you will be primarily focused on diary management and office support. There will also be a requirement to book travel, and provide secretariat support to a number of working groups.
Your primary responsibilities will include:
- Diary management
- Organising meetings
- Preparing agendas
- Records management in the TRIM system
- ICSE - Client management system
- The creation and maintenance of basic spreadsheets
- Database administration
- Preparation of correspondence
- Arranging travel including international bookings
- Dealing with enquiries on behalf of senior staff
What you'll need to succeed
Experience in the above mentioned tasks will be a minimum requirement with previous experience in the APS essential. The ideal candidate will be dynamic and adaptable and have the ability to operate in a fast paced, highly reactive environment. The ability to work independently and collaboratively with strong time management skills, high attention to detail, excellent communication skills and knowledge of Microsoft office suit will also be highly regarded.
You must be an Australian citizen and will possess or be willing to go through the process to obtain and maintain a NV1 personnel security clearance or higher.
