Administrator / Quality - Berrinba

CEVA logistics has an opportunity for an experienced, driven and demonstrated Administrator at our facility located in Berrinba. This role reports to the Operations Manager.   

The key purpose of this role is to assist and support the Contract Logistics Operations Manager on a day to day basis and his/her direct reports in all administrative processes and activities for the site, including safety and quality related focuses. Key focus for this role is to ensure all operational activities, processes and systems relating to the operating of the sites are facilitated to the company’s contractual obligations and service standards to the customer, and all safety and quality related functions are processed and relevant to contract standards.

 

Key Responsibilities;

  • Interested applicants must be available to work 10am – 6pm and complete a 3 week rotating roster including weekend work, for examples days of work are;
    • Week 1 – Tuesday, Wednesday, Thursday, Friday
    • Week 2 – Monday, Tuesday, Wednesday, Thursday, Friday
    • Week 3 – Monday, Tuesday, Wednesday, Friday, Saturday, Sunday
  • General business administration – providing support to the Distribution Manager
  • Coordinate meetings and record minutes
  • Set up meetings/conferences/schedules
  • Collating and collecting data as required
  • General administrative assistance to this contract and others as required by management
  • Prepare presentations for the customer using PowerPoint
  • Assist our Shared Services with Roadshow requirements
  • Provide HR support with training coordination
  • Assist the contract with HS&E activities
  • Play a role in the coordination, delivery and support of new employees and their on board with the business
  • Manage procurement of site related items as required by the Operations Manager and Team
  • Administer weekly payroll for the site, including data entry of timesheets, collating timesheets and ensuring timesheets are signed off by relevant manager
  • KPI data and visual management boards – prepare KPI data as required and directed by Operations Manager
  • Manage the Health, Safety and Environment Management System; and relevant MyOsh tasks
  • Purchase Order filing, reconciliation & follow-up (weekly)
  • Assist site with follow up of safety related issues and process as required
  • Any other general admin  and adhoc requests

Knowledge, Skills and Experience

  • Experience working in a similar role
  • Mature and stable temperament, capable of dealing with pressured scenarios in a calm and systematic manner
  • Ability to task manage and meet appropriate deadlines
  • Uses good judgement to make effective decisions within appropriate time frames and seeks guidance as required
  • Prior experience in preparation of written documents (including business cases, reports, minutes, emails, etc.)
  • Prior experience using MicroSoft Suite, in particular Excel and PowerPoint applications
  • Possess a high level of data entry skill with an emphasis on data accuracy
  • Display good arithmetic and analytical knowledge
  • Ability to influence change at a management level
  • Prior experience in using warehouse management IT systems. (desired)
  • Exceptional verbal and written communication skills
  • Problem solving abilities – Been exposed to KAIZEN methodology to determine root cause of problem and implement findings & initiatives to solve problematic issues
