The Bundaberg RSL Sub Branch helps to ensure that all current and former Australian Defence Force personnel and families that need of help get the support they require. This is evident through our vision: We support you, the military family.

This position is Full-Time.  

 

Job Responsibilities        

The duties and responsibilities will vary according to the current needs of the organisation, however the main fields that the position holder will be involved in are: 

Administrative Support to the Board of Directors

  • Provide administrative support for the Board of Directors to help manage workload and activities.
  • Assist by receiving, review and prioritising correspondence. Developing draft correspondence and reports, including matters of a confidential and sensitive nature.
  • Typing and distribution of Board and other meeting minutes and correspondence as requested by Board.
  • Undertake daily administrative coordination including organizing of appointments, meetings, travel arrangements, bookings for conferences and seminars.
  • Monitor, respond to and re-direct emails as appropriate.
  • Maintain office file systems which enables the timely retrieval of documents.
  • Assist with ongoing regulatory compliance through record management and keeping up-to-date with and advising the Board on various laws.
  • Providing support and relief from time to time for other Administration staff
  • Receipt and bank all funds;
  • With the approval of the Board, organize banking and investments;
  • Assist the public and members with enquiries and referrals as required;
  • Organize and coordinate board records and documents.
  • On-time, supply the RSL QLD with administrative and statistical information as required;
  • Organize suitable venues/ room bookings, and organizing of refreshments if required;
  • Maintain an accurate membership database and report generation for birthdays, events and other requirements of the Board.
  • Collate, edit and distribute the membership newsletter if and as required
  • Procurement of office and other supplies

Communication and Community Liaison

  • Liaise with Sub Branch Members and the Veteran Community
  • Liaise with district branches and state RSL

Planning Commemorative Events

  • Organize venues, wreaths, proceeding order and communicate to participants, complying with applicable customs and procedures;
  • Apply for permits for marches and use of public spaces as requested by the Board;

Assisting with Welfare Support

  • In the absence of the Welfare Coordinator, provide welfare assistance to veterans and members as required.

Other

  • Perform other duties as requested by the Board from time to time and as requested by President.

 

SKILLS AND EXPERIENCE

Essential

  • 5+years senior administrative/ Secretary experience to a General Manger, CEO or Board of Directors
  • High commitment to WH&S practices and focus on eliminating and minimizing hazards
  • Advanced administrative skills to ensure correct documentation and statistics are supplied to the Board and State RSL in an accurate and timely manner,
  • Sound written communication skills for developing reports and maintaining records.
  • Advanced Microsoft Office Suite skills (Word, Excel, Outlook)
  • Excellent verbal communication skills.
  • Current valid C-class driver’s license.
  • Compassionate and supportive.
  • Very confidential and aware of Privacy laws.
  • Ability to work in a rapidly changing environment with many competing and unplanned demands.
  • Ability to work at special commemorate events (ie. ANZAC Day, Remembrance Day)
  • Ability to obtain a National Police Certificate for Employment (Police background check).
  • Willingness to undertake any job-related training the Board deems appropriate.

 

Preferred

  • Diploma or Bachelor Degree in Administration, Business, or Human Resources-related field
  • Current advanced First Aid and CPR certification
  • Ex-Military background and willing to become a Member of the RSL Sub Branch
  • Willing to complete the ‘ASSIST’ Suicide Prevention Training

 

REMUNERATION

Remuneration will be dependent upon the successful applicants’ experience.
