We have an opening for an Admin professional to undertake secretariat duties in a very busy and time sensitive / deadline driven team on highly confidential and sensitive subject matter. 

Key Accountabilities:
  • Taking and preparing concise minutes for currently 5 different meetings of working groups, committees and task forces and distributing those within two days of the conclusion of each meeting. Each group meets monthly and runs for approximately half a day.
  • Organising and scheduling each of the monthly meetings for each of the different groups, including booking meeting rooms, setting up meeting room on day of meeting, finalising and distributing agendas, liaising with attendees, printing and packaging papers and agendas for participants on the day of meeting.
  • Following up with stakeholders for paperwork on action items from each meeting with the appropriate attendee / group to ensure action items are returned in time for submission to the Executive Director and / or Chair and CEO for approval and inclusion in the meeting that they need to be tabled in.
  • Getting relevant documents submitted on time to the Executive Director and Chair and CEO from the relevant stakeholders. 
  • The working groups, committees and task forces are made up of Local Government, External Cross Government and Industry stakeholders. 
Selection Criteria:
  • Exceptional organisational and scheduling skills and experience. With at least 2 years experience in a similar role 
  • Outstanding written and verbal communication skills with the ability to communicate with people at all levels and on topics that you don’t necessarily
  • Outstanding written and verbal communication skills with the ability to communicate with people at all levels and on topics that you don’t necessarily have a deep understanding of.
  • Strong negotiation skills.
  • Must have strong skills in HPE Content Manager 9 (TRIM); MS Outlook; MS Word; Typing.
