We are currently looking to employ an individual for our Northmead office who is interested in starting a career in Administration or continuing their career with some experience already gained elsewhere.  We are looking for someone who shows initiative, has a strong desire to learn and presents well.  The successful candidate will demonstrate a mature approach to their work, have excellent verbal and written communication skills and pride themselves on their dependability and reliability.  We also would like to employ a candidate who is comfortable dealing with high change as we are going through a major change in our administration processes.

Job tasks and responsibilities

  • Creating a positive first impression for all clients/visitors of the Centre on a face to face and over the phone basis, assisting visitors in ensuring they are greeted appropriately, provided with refreshments when required and directed to the appropriate person within the centre;
  • Providing administrative support to the site team including but not limited to; making client appointments, greeting clients, collecting client personal data and relevant insurance information, organising the correct invoice to be sent/payment to be collected;
  • Ensuring that all enquiries from clients/visitors are attended to in a timely manner;
  • Going to the post office and bank daily or as required;
  • Sorting all incoming mail to the centre (via the post or electronic communication) and responding where needed in an appropriate timeframe;
  • Performing weekly stock-take of kitchen, facilities, workshop inventories and replenishing as required;
  • Assisting with all admin tasks within the Centre;
  • Assisting with the preparation of staff lunches given that lunches are provided for all team members at the Centre.

Skills and experience

  • Previous experience within an administration role preferred but not essential;
  • Strong skills with Microsoft office suite;
  • Strong customer focus for both internal and external stakeholders;
  • Strong attention to detail and accuracy skills;
  • Strong prioritisation and time management skills;
  • Timely decision making skills;
  • Sound verbal and written communications skills;
  • Ability to drive for results and focus on outcomes.
  • Ability to cope well with constant change to work processes and systems.
  • Strong willingness to learn and show initiative
