This opportunity arises following the secondment of the substantive post holder to a major improvement project.
As PA to the Director of Finance you will be key to the effective running and support of the Finance Division. You will work closely with the Finance Director, Finance Executive Management and a number of other Managers and Staff in the Division.
You will provide organisation and secretarial support to Senior Managers, undertake a number of projects and functional responsibilities within the Division and perform a key role in co-ordinating Divisional communications.
Key responsibilities:
- Personal Assistant to the Director of Finance and provide support to the Deputy Director and Finance Executive
- Liaise between the Director of Finance, the Deputy Director of Finance, Finance Executive and members of the University and external agencies in dealing with queries and general business.
- Maintain a calendar of key events for the division.
- Act as first point of contact for Freedom of Information requests to the division.
- Prepare correspondence and other documents and papers for meetings attended and led by the Director of Finance and Senior Managers.
- Oversee induction arrangements for new joiners to the Division, including maintaining the Finance Induction manual and staff handbooks, organise IT access etc.
- Organise external events for the department eg training and development ‘away days’.
- Manage the use of the Finance meeting room and training room.
Skills & experience:
- Excellent communicator
- Ability to establish strong working relationships with Senior Managers and staff
- Excellent understanding of the needs of the FD, Executive management and Divisional staff.
- Excellent organisational skills – able to get things done.
- Self-motivated, professional with high standards of customer service
- Collaborative approach, valuing the contribution of others.
