The British Association of Dermatologists - a charity which represents doctors who specialise in skin disease for the benefit of the public - is seeking a Business Administrator to join our lively, professional team.

Key Duties/Responsibilities:

  • Ensure effective communication between the CSU and its stakeholders.
  • Arrange and confirm appointments and meetings as required, making appropriate arrangements (hospitality, booking venues, equipment, travel, accommodation etc).
  • Provide secretarial services for meetings, including preparation and timely distribution of agendas and papers, taking minutes and recording actions.
  • Co-ordinating of electronic diary for the Head of Clinical Services.
  • Maintain effective office systems to initiate and maintain records and generate information as required.
  • Communicate effectively with a range of stakeholders on a variety of project matters at a senior level.
  • Maintain project and programme files and outputs, including strict version control of documentation.
  • Support the process for reporting, collecting and maintaining programme and project portfolios.
  • Ensure the forward planning of key meetings is communicated to all CSU committees and stakeholder groups
  • Act as the first point of contact for the CSU ensuring matters are dealt with efficiently and effectively.
  • Maintaining the CSU section of the website and updating information accordingly
  • Preparation of meeting and committee papers within specified deadlines as required.
  • Manage central electronic filing system and reference material library
  • Order stationery, equipment and office supplies as required.

Qualifications:

  • Advanced ECDL or equivalent experience (Essential).
  • A level or equivalent/ or NVQ3 or equivalent in Business Administration (Essential).
  • GCSE (grade A-C) or equivalent in English Language (Essential).
  • GCSE (Grade A-C) or equivalent in Maths (Essential).
  • Project Management Qualification/diploma or equivalent experience (Desirable).

Knowledge:

  • Extensive knowledge of Microsoft Office – Word/Excel/Outlook/PowerPoint (Essential).
  • Knowledge of Project and Programme software and systems i.e. Microsoft Project (Desirable).
  • Website development and maintenance (Desirable).
  • Understanding project and programme management (Essential).
  • Awareness of NHS policies (Essential).
  • Knowledge of NHS administrative procedures and policies (Desirable).

Skills/Abilities:

  • Microsoft Office/Internet skills (Essential).
  • Proof read accurately (Essential).
  • Good communication and organisational skills (Essential).
  • Good numeracy and literacy skills (Essential).
  • Ability to work on own initiative and respond to changing workload and prioritise work (Essential).
  • Ability to produce quality documentation (Essential).

Experience:

  • Experience of providing high quality precise minutes at Board or Executive level (Essential).
  • 3 years in administrative role (Essential).
  • Experience of working with people as customers (Essential).
  • NHS specific administration experience (Desirable).
  • Working to deadlines (Essential).
  • Experience of working in a project environment (Desirable).

You will join a staff of 35 and be based in delightful offices in central London, working a 35-hour week with 26 days paid holiday.
