About the business and the role

Forte Sports is a newly established Sports Medicine and Orthopaedic Specialist clinic.  This medical practice hosts 4 Sports Physicians and 2 Orthopaedic surgeons.  This group provides care for patients requiring specialist level management of injuries and musculoskeletal problems.

We are looking for an experienced and dedicated receptionist/administrator to join our team.

The role is for 2 days per week, 1 day for 10 hours, 1 day 6-8 hours 

Job tasks and responsibilities

The medical receptionist/administrator role is a front of house position, with some additional administrative responsibilities.  The practice runs on Incisive SPM Practice Management Software.

Patient-related roles:

  • Greeting arriving patients, assisting them in the completion of enrolment and consent forms.
  • Booking and managing patient appointments.
  • Answering all incoming phone calls and handling phone enquiries.

Administrative roles:

  • Dealing with incoming email and phone messages.
  • Entering all patient-related correspondence into the SPM system. This includes emails, messages via healthlink (EDI/RSD), faxes and printed letters.
  • Sorting and distributing all incoming correspondence to the respective specialists in the practice.
  • Day to day running of clinics

Financial roles:

  • Collecting account payments from patients and providing receipts.
  • Completing accurate invoicing within SPM.
  • Processing end of day banking/EFT-POS and account reconciliations.

Other roles:

  • The receptionist will also assist with the general administrative tasks in the practice, as required.

Skills and experience

The ideal candidate will have:

  • Experience as a receptionist/administrator in a medical facility
  • Previous experience with Incisive SPM software
  • Good multi-tasking skills
  • Excellent communication skills
  • Ability to work as part of a team.
  • Ability to work unsupervised
  • Ability to prioritise and work in a busy environment
  • Flexibility to cover for holiday or illness leave
