OFFICE MANAGER – AUTOMOTIVE INDUSTRY

Angelwax, the premier automotive supplier of car detailing and grooming products, has partnered with Angelwax NZ Limited to offer a range of premier car detailing and grooming services as well as the delivery of Angelwax products to the New Zealand market.   

Play a pivotal role in this new, New Zealand business venture, in overseeing and managing the day to day running of the business.

We are looking for a confident sole-charge Office Manager with a wide range of skills experienced working within the automotive industry and fully capable of managing the company office. This managerial role will require an individual to demonstrate their accounts and administrative experience, along with some knowledge of automotive detailing products and processes due to the nature of the business and the specialty of the products and services offered by the business to its customers.

Your primary tasks as Office Manager will include but not be limited to:

  • Managing all Reception and Customer Service requirements
  • Ensure customer account details are kept up to date including managing customer  sales order requests
  • Scheduling jobs to meet customer demands
  • Manage daily job allocation, assign work to staff and monitor progress to ensure work deadlines are met
  • Prepare customer invoices ready for payment
  • Ensure customer payments are within Company Policy
  • Manage Accounts Payables and Receivables in the office
  • Reconcile salaries and wages information
  • Manage stock purchase ordering, receipting of goods, processing purchase orders matched invoices for payment
  • Coordinate stock control and manage stock takes
  • Ensure office equipment and consumables are maintained
  • Manage with the business owner staff resources, recruitment, any specific product training requirements 
  • Ensure health and safety requirements are met as per company policy
  • Ensure health and safety compliance with current regulations
  • Coordinate monthly financial accounts for business owner and company Accountant
  • Preparation of monthly activity report for business owner

As you will have some background knowledge of automotive detailing products and processes, you may be requested to assist with some car detailing from time to time where the demands of the business require, and to supervise and train staff in the performance of car detailing/grooming duties, such duties include detailed cleaning of vehicles, full steam clean and car decontamination process, full exterior machine polish and wax, and full interior groom.

Applicants should have:

  • 3 years’ working experience in office administration, excellent customer service skills.
  • Proven accounts management experience, accounts payable and receivable
  • Proficient with Workflow Accounting System or similar accounting software and Data Records Management System
  • Have a good understanding of Financial Accounts and Payroll
  • Highly-organizational Strong MS Office Suite knowledge (Excel, Word, Outlook)
  • Some experience with and/or an understanding of automotive detailing processes and car care is preferable
  • Some use and knowledge of Angelwax products preferred
  • You will need to hold a current full driver’s licence as customer vehicle delivery and pick up may be required.
  • A willingness to be flexible and assist across the business where necessary 
  • An eye for detail to ensure that vehicles presented to customers are of a consistently high standard
  • This position is customer-focused so an ability to relate well to people with a bright and friendly personality are essential.
