What do we need from you

To be responsible for the day to day business management and compliance.

As a Compliance Officer and Executive Administrator, you are responsible for ensuring the organisation complies with its outside regulatory requirements and internal policies. In short, you are responsible for making sure that processes are followed.

Ideally you would be the go to person for all things compliance and business administration. Your knowledge of the industry (DHB/Mental health) is essential to the success of this role. You may even act as a consultant for the people inside the organisation.

The remit of your role is that you will be responsible for compliance with professional standards (such as voluntary best practice) and internal standards. As a compliance and admin professional, you'll need to:

 

PRIMARY DUTIES AND TASKS:

Ensure that Executive Director,  staff and board have sufficient and up-to-date information

Undertakes the business administration relating to the  operations of organisation and manages its compliance with legal and regulatory requirements including:

Accepting and record incoming telephone and Internet enquiries, taking client details sensitively, discreetly and accurately and sending questionnaires.

Provide accurate information and advice about Dayspring’s services to clients, family and agencies.

Provide accurate information to assist people to access other community services.

Processing client enrollments for our programmes and follow up phone calls.

Dealing with client’s cancellations and confirmation of appointments, recording and passing on messages to staff promptly.

Keeping a record of payments on client records, follow up on missed payments and notifying the Financial Administrator accordingly.

Educate employees on not only the regulations but also the impact to the organisation if these are not complied with

Ensure that your findings are recorded and followed up with management so that issues can be rectified

Responsible for banking, collecting mail and running errands as required.

In conjunction the the Executive Director, prepare  annual budgets that support operating plans.

Prudently manage the organization's resources within budget guidelines according to current laws and regulations.

Liaise with external provider of accounting function.

Provide professional reception service to clients and visitors, including the security of visitors.

Provide administrative support for the Executive Director of Fundraising and Management team when required.
