The Reception/Administration support role provides support to branches through providing a quality and timely service to patients, referrers, funders, and internal staff. The service is provided via face-to-face interactions, by telephone or written communication.
Assisting with day-to-day administrative duties, your responsibilities will include, but are not limited to:
Key responsibilities:
- Reception and Patient Bookings
- Respond to both incoming calls and correspondence, either redirecting or handling enquiries in a timely manner.
- Schedule and book imaging appointments as per booking protocols. Communicate with the patient all relevant information regarding their specific examination, including any preparation requirements.
- Accurately provide quotes and information regarding examinations when requested.
- Prepare and send preparation packs to patients (for complex examinations only).
- Liaise with Southern Cross Medical Insurance on behalf of patients, when required.
- Identify correct funding pathway and where applicable adhere to ACC funding protocols.
- Liaise with referring doctor or practitioners regarding patients imaging requirements.
- Maintain accurate records of patient’s medical and personal details in RIS.
- Maintain privacy and security of all documents and patient information.
- Continue to work towards improving office efficiency and service by suggesting innovations or changes to current practices.
- Welcome and direct patients and visitors to the branch; ensuring appropriate induction is completed with on-site contractors and visitors.

- Support the regional management team with administrative tasks
- Prepare and edit correspondence, reports and presentations
- Complete copying, scanning and filing of documentation
- Sort and distribute mail and courier items
- Monitor and order stationery and office supplies, as and when required
Hours: Full time (40 hours per week)
