Based in our Auckland CBD office, the Events & Admin Coordinator role reports to the New Zealand Events Manager and will work closely with local event partners and the IDC event teams across Asia Pacific. 

This person will have proven events experience with a minimum of 1 year in a similar role, preferably within the IT industry. The role is a fixed 12 month contract (covering for maternity leave).

The successful candidate will be responsible for IDC New Zealand events which range from multi day conferences to executive round tables in the Information and Communication Technology industry. In addition, the person will be responsible for general finance, admin and travel coordination. This role provides the opportunity to work for an established international company and get involved in all aspects of event marketing disciplines.

The primary responsibilities of the events & admin coordinator include:

  • Event administration including, invitations, delegate recruitment, tracking registrations and responding to sponsor and delegate enquiries, some logistics and post event reports
  • Design and creation of event and marketing related collateral in coordination with the Marketing and Events team
  • Maintain end-user database
  • Liaison with IDC event teams across Asia Pacific
  • Travel coordination
  • Finance support
  • General office admin
  • Assist with budget management and supplier negotiations
  • Produce and maintain event briefs, run sheets and all other documents required for the successful planning and delivery of the events.

The successful applicant will have:

  • A minimum of 1 year’s events experience or marketing communications experience.
  • Formal Events/Marketing Communications qualifications preferred (Degree or equivalent)
  • Be a team player
  • Strong communication skills: verbal, written, and interpersonal
  • A sound understanding of marketing procedures, processes and tools
  • Sound business acumen
  • Well developed IT skills with the ability to use contact databases & proficiency in Microsoft Office packages
  • Ability to multi-task with excellent project management skills
  • Experience working with email marketing software such as Exact Target, Mailchimp or similar applications would be highly regarded
  • Great attention to detail
