Based in our Brisbane CBD Office the Sales Secretary will provide effective secretarial and administrative services to a sales team within Ray White Commercial Queensland.  The role interacts with internal and external clients and the broader team and requires close liaison and support, coordination, communication and effective organisation.  Working in a team environment you will be expected to demonstrate commitment, loyalty and an ability to work as an enthusiastic team member in accordance with the organisation's office routines and procedures, keeping in mind the overall business objectives.

Key Duties and Responsibilities:

  • Assistance and administration support for sales staff
  • Telephone answering /client services
  • Preparing Correspondence, Vendor reports, Information Memorandums, Submissions, Letters, Reports, Work in progress reports and Emails/faxes
  • Uploading new listings and updating current listings to all to web portals
  • Organising mail outs for agents e.g. letters/envelopes/brochures/booklets/database
  • Organising/coordinating marketing campaigns
  • Proofreading of all marketing material
  • Preparing Offers to Purchase/Expressions of Interest/Auction documents for enquiring/interested clients
  • Preparation and appropriate authorisation of purchase orders for marketing campaigns
  • Booking advertising as required, checking proofs and finalising
  • Organising design and production of brochures (both internal and external)
  • Preparation of relevant PO Forms using Realworks
  • Entering property/client/document data into Commercialtoolbox (database system)
  • Conduct contract checklist once assigned; prepare file, arrange for trust account receipting
  • Take enquiries from prospective purchasers, enter into the database and pass on to relevant salesperson for follow up
  • Property related research, including demographics, building and zoning.
  • Booking / Reviewing photography
  • Filing, including maintenance and archiving as required
  • Monitoring industry journals and newspapers for related articles

Required Qualifications, Skills and Experience

  • Proven experience as a team administrator or similar
  • Previous experience within property/real estate (desirable but not essential)
  • Highly developed computer skills
  • Demonstrated ability to work cooperatively and effectively with others in delivering the desired
  • outputs within set deadlines
  • Demonstrated experience within a role where confidentiality and diplomacy are essential
  • Ability to work within a team or autonomously, at times with minimal supervision
  • Exceptional time, task management and organisational skills and in particular, the capacity to
  • prioritise and effectively manage multiple tasks, projects and deadlines
  • Proven research, analytical and problem solving skills
  • Demonstrate a work ethic, attitudes and values compatible with the Ray White culture and values
  • High level of professionalism
  • High level of enthusiasm
  • Communication skills both written and oral, characterised by patience, clarity and empathy

  • Typing – 60 wpm minimum with a high degree of accuracy
