Responsibilities:

Accounts Payable

Ensure invoices are entered on time
Cheque runs. - review
Scan invoices
Ensure payments are made on time

Accounts Receivable

Raising invoices as required for advertising, maintenance and electricity usage
Raising tenant invoices by the 15th of each month
Receipting of residential/ commercial rental income for investment properties
Maintaining arrears reports and circulate to Asset Managers

Assistance with Cash Management

Daily checking of bank statements and daily/weekly bank reconciliations.
AP and AR data entry including cheque runs
Quarterly Invoicing members and receipting.
Assisting with preparing quarterly management reports
Maintaining member records are accurate at all times both in Timberline and manual files.

Asset management administration

Maintain file compliance on all tenancies
Ensure all Asset Managers are informed of lease renewals or vacate notices.
Assist with Real Estate audit and liaise with auditors where applicable 

Customer Service

Communicate in a clear and concise manner both verbally and in writing
Communicate key customer, industry and departmental issues that affect the business to senior management
Maximise each customer contact by identifying the customer’s needs while also gathering and recording additional information to clarify motivators influencing decision making
Take responsibility for delivering what was promised to the customer and ensure their satisfaction with the service and result
Proactively contribute to maximizing customer satisfaction and minimise customer complaints

Administration & Documentation

Complete all paperwork ensuring Company time frames are met
Accurate and timely use of all information systems and software programs
Ensure all database records and files and complete, accurate and up to date

Market industry & knowledge

Demonstrate a solid understanding of the industry, the market and all customer needs
Keep informed of market trends including keeping up to date with competitor activities

Reporting

Daily, weekly and monthly:
Ensure emails/ supporting documentation are filed adequately
Assist with weekly processing to assist with Cash balance report to management Monday morning
summarise and report on all activity with respect pending over overdue financial commitments both AP and AR
Provide Asset Managers Inspections and rent review action list
