Our client is seeking an experienced Contracts and Compliance Coordinator with a strong background from the Facilities Management sector for this newly created role. We are seeking someone who prides themselves on providing a high level of customer service and can manage a variety of stakeholder relationships dealing with day to day operational issues and have strong contract writing skills.
Responsibilities
The key responsibilities in the role include:
- Be in control of the setup of data on the Help Desk Software and making sure information is kept updated and monitored at all times.
- Be the main source of contact for all service related calls
- Log all Help Desk calls and assign to relevant team member
- Following up and ensuring the job is completed and relevant documentation received is noted in hard and soft copy
- Liaise with Facilities Managers, prepare contracts and completing other administrative tasks
- Ensure all contracts are noted on the Electronic Management System both hard and soft copy
- Generate Master Maintenance Plans for each site and monitor services to ensure they are provided in accordance with set schedules
- Ensure that effective document and data control occurs to ensure a Master Maintenance Plan and Service Agreements can be tracked for adherence to scheduled maintenance plans.
- Work towards achieving outcomes, competitively source quotes & recommend supplier engagements as required
- Clear communication should be established & maintained always with Service providers and Contractors, regarding works to be undertaken
- Start service requests & follow up on progress
- Co-operate with Facilities Managers & Property Managers to ensure all maintenance requests are being addressed and completed.
- Screen invoices and provide feedback to Managers to ensure necessary work is getting completed
Skill and Experience:
The successful applicant will have a strong background in Facilities Management across compliance and contract, have a proven ability to work autonomously and be solutions focused.
- Sound knowledge of Property & Facilities Management.
- Experience in implementing and monitoring compliance programs.
- Experience dealing with service contracts and service providers/contractors within a facilities environment.
- Excellent organisational & time management skills.
- Excellent written & verbal communication skills.
- Advanced Microsoft Office skills, in particular Excel & Word.
- Proven track record in operational and/or maintenance/service management environment, or past legal documentation experience.
- High attention to detail and presentation style.
