Our client is seeking an experienced Contracts and Compliance Coordinator with a strong background from the Facilities Management sector for this newly created role. We are seeking someone who prides themselves on providing a high level of customer service and can manage a variety of stakeholder relationships dealing with day to day operational issues and have strong contract writing skills.
Responsibilities
The key responsibilities in the role include:
Contract Administration
- In consultation with the Facilities Managers, prepare Contracts, ensuring attention to detail;
- In consultation with the Facilities Managers, as well as in accordance with Manufacturer’s recommended service specifications, develop the scope for all EF Asset Service Agreements;
- Develop Master Maintenance Plans per site and monitor to ensure services are provided in accordance with set schedules;
- Coordinating audits, contractors and tenants
- Develop documents to assist with explaining regulatory requirements and compliance methods
OH&S/Compliance
- Assist with managing Asbestos and ESM.
- Develop compliance (and safety) policies, procedures and processes
- Review & monitor compliance with Work Method Statements.
- Ensure compliance to the Company’s WHS Management system in developing scope of works.
General Administrative Duties
- Assist with overall administrative functions as required by the Head of Property, Facilities & Property Managers.
- Maintain a database of suitable service providers.
Relationships
- Liaise with tenants to ensure compliance programs are in place, and ensure adherence to Lease obligations (ie. Environmental Management Plans etc.)
- Build rapport with contractors and service providers. Ensure communication is clear and that essential information is recorded & relayed to appropriate EF personnel and stakeholders.
Comply with EF Policies
- Make no compromise when it comes to quality, safety & risk management.
- Contribute to the development & maintenance of systems & processes to continuously improve the service to the Business, Tenants and stakeholders.
Skill and Experience:
The successful applicant will have a strong background in Facilities Management across compliance and contract, have a proven ability to work autonomously and be solutions focused.
- Experience in implementing and monitoring compliance programs.
- Experience dealing with service contracts and service providers/contractors within a facilities environment.
- Excellent organisational & time management skills.
- Excellent written & verbal communication skills.
- Proven track record in operational and/or maintenance/service management environment, or past legal documentation experience.
- High attention to detail and presentation style.
- Resilient to pressure.
