Purpose of the role

Our award winning Property team advises major property investors and developers on all facets of commercial, retail and residential property matters. Some long-standing clients include Aveo Group, AMP Capital Investors, Brookfield, Commonwealth Bank of Australia, DEXUS, Lendlease, RNA, RSL Care, Springfield Land Corporation, Stockland and Suncorp.

We are looking for an Intermediate Legal Secretary with a desire to provide a high level of administrative support to a busy and successful team. In this position you will work closely with and provide a full range of legal secretarial support to senior lawyers and paralegals. This is a permanent role to be an Executive Assistant to six authors predominately within the Retail Leasing Team with clients including Lendlease, QIC, Dexus, Frasers and Australian Unity.

The position has arisen due to a promotion within the team.   

What you need

Some of your responsibilities will include:

  • answering calls and monitoring emails
  • file management using Lotus Notes and opening and closing files using MBPM and Elite
  • end of month billing and reporting
  • reconciliation of expenses
  • Title office and other property searches including undertaking searches using Citec
  • receipting and requesting Trust Monies
  • reconciliation of expenses through Concur
  • receipting and requesting documents to and from safekeeping
  • arranging couriers
  • general administrative tasks such as filing and photocopying
  • other ad-hoc duties as required

Bonus points for someone who:

  • has experience in the legal industry or a professional services environment
  • Is familiar with Elite 3e and / or Filesite
