The Role
Calling all intermediate to senior legal assistants, secretaries and executive assistants. If you thrive on being busy and are looking to take the next step in your career, this role could be just what you’ve been waiting for. This is a rare legal support opportunity to join a well-established team where everyone is encouraged to use their strengths and interests to bring maximum value in their own unique way.

At the heart of our support model is the concept of ‘the right work being done by the right people’. You (as a Legal Assistant) will be the first responder, the linchpin of the team and dedicated to supporting your authors across all aspects of their day to day workload. To enable you to focus and deliver on your responsibilities, you will be supported by a variety of people and teams (including two Administrative Assistants in your group) who are dedicated to completing specific tasks quickly and efficiently (and taking them off your plate!).

You are probably known for your strong work ethic, your excellent verbal and written communication skills, your motivation, your positive mentality and your personal resilience. Your key responsibilities will include:

  • planning for and delivering high quality, accurate work whilst managing deadlines and the competing priorities of all work;
  • establishing effective work practices with partners and lawyers to assist them in their matter management;
  • demonstrating enthusiasm and proactivity in the workplace, including participating in and contributing to local and global projects, innovation initiatives, support and practice group meetings, business improvement activities, focus groups, pilot groups, team building activities, learning and development sessions and other relevant activities;
  • managing partners and lawyers internal and external appointments with appropriate meeting lead times;
  • assisting with meeting preparation and the coordination of post meeting actions;
  • capturing and sharing information about client specific requirements;
  • co-ordinating and managing a broad variety of responsibilities and deliverables (including delegating where appropriate and maintaining ownership and responsibility for outcomes)
  • contributing to knowledge sharing and building the experience of others, including mentoring Administration Assistants
  • covering secretarial absences within the team.

Skills, experience and qualifications
To be successful in this role you will:

  • be highly organised, solution focused and a team player;
  • be able to proactively manage competing demands while maintaining enthusiasm and providing high quality support to the whole team;
  • be able to network effectively and establish credibility and trust when engaging with key contacts across the business and externally;
  • possess strong interpersonal, negotiation and communication skills;
  • have the ability to delegate effectively to various other teams and to administrative support staff as required; and
  • possess or have the ability to rapidly learn the technical requirements of this role.

Prior legal experience is favourable but not essential. A strong background in other relevant professional services organisations will be considered if you can demonstrate the key competencies and show us your ability to fulfil the requirements of this role.
