Queensland Law Society (QLS) is the professional body for legal practitioners, representing more than 10,000 members state-wide. We lead the legal profession by advocating for good law and supporting good lawyers.

Reporting to the Director of Information Management, with a functional reporting line to the Records Manager of Information Management, you will be required to assist in the preparation and collation of information for the data migration for the EDRMS Project at QLS.

Key accountabilities will include:

  • Assist in preparation of the EDRMS Project testing and training.
  • Provide day to day support to the Records Manager in the implementation of the EDRMS
  • Ability and willingness to learn and develop new skills to support the stakeholders as a Superuser of the new EDRMS.
  • Willingness to learn new bespoke systems. Ability to support the delivery of the document control function in the business
  • Create and maintain a single consolidated documents register for QLS including reduction of hardcopy hold.
  • Manage the retrieval and return of files and archive boxes to and from archive storage for QLS.
  • Support the administration duties of the Information Management business unit
  • Ability to take minutes and support project management meetings for the Information Management business unit.
  • Manage meeting requests, book meeting rooms and resources as required
  • Other duties and projects as defined by your Manager.

Skills and experience 

  • A minimum of 3 years experience in  a Document Controller position.
  • An ability to efficiently manage your own workload to meet pressing project deadlines.
  • Ability to work both autonomously and in a team environment.
  • Experience archiving public records and associated documentation.
  • Good knowledge of Document Control ‘best practices’ and management processes, as well as experience in a government department or statutory body environment.
  • Experience using SharePoint and Viso in addition to the Microsoft Office standard suite of products (Word, Excel, PowerPoint & Outlook)
  • Any knowledge of Onbase would be advantageous
  • Maintain an up-to-date knowledge of legislation, standards and record keeping practices
  • Qualifications in business or administration are desirable.
  • A minimum of 3 years experience in an administrative role in a professional services environment.
  • Excellent customer service skills to respond efficiently to providing an effective internal service.
  • High level of communication skills, including the ability to develop and maintain professional relationships with a diverse range of stakeholders.
