The Travel Operations Supervisor is responsible for overseeing the operations within Collette's Australian Office which covers client in both Australia and New Zealand.  This includes collaboration with all Collette’s offices and the management of all tasks related to Bookings, Operations, Documents, Transportation, Accounting, and Administrative functions. The Travel Operations Supervisor will be involved in the preparation, planning, and implementation of the office budget as well overseeing the talent management of the office staff and the scheduling tasks to optimize productivity. 

 

•Responsible for the oversite and workflow on all processes for the timely and accurate delivery of: customer travel documents, booking quality control including air components, door to door transfers, holiday change notification, actioned workflows, and new tour testing and itinerary proofing

•Directs the training, scheduling and coordination of the staff to optimize workloads and prioritizes in order to produce timely, complete and accurate outputs.

•Ensure exceptional customer service is provided by the entire team to include processing orders, customers travel document delivery, call backs to customers on inquiries and customer service resolution.

•Acts as the main point of contact within the office to resolve day to day administrative and operational issues and coordinate with other teams to maintain integrity in the process. 

•Fiscal responsibilities include budget planning and implementation, ensuring all accounting functions are preformed according to both company and country standards as well as standard operational procedures related to daily bank deposits, daily accounts payables and accounts receivables.

•Point of contact within the Australian office for the Collette Headquarters to include but not limited to maintenance of all IT Systems, Wi-Fi connections and hardware within the office; implementation of new corporate procedures/endeavors and companywide systems changes and updates. 

•Overall management of the physical office to include but not limited to: setting up and maintaining files, printers/copiers, shelving, storage, and computers; processing incoming and outgoing mail; location maintenance; utilities; overall security.

 

Requirements:

• Bachelor’s degree or equivalent and 5-8 years of experience.

• Experience with talent management to include interviewing, hiring, onboarding, training, development, coaching, mentoring, and performance management.

• Self-starter: Ability to plan and organize work and set own priorities in a fast paced environment; must be able to multi-task efficiently and accurately while thinking critically; possess high attention to detail and thoroughness; initiates and commits to self-development. 

• Demonstrates leadership skills; is a proactive and positive professional with the ability to work well under pressure; collaborates well with others and fosters a cooperative work environment; and is skilled in scheduling work assignments to optimize productivity.

• Must be flexible to an ever-changing travel industry and aware of disruptive worldwide events; skilled in customer service resolution

• Ability to work flexible shifts, including weekend and holiday coverage to meet business needs and willing to travel to various global destinations to attend meetings as necessary.

• Understanding of the financial impact of decisions and operational procedures while remaining guest centric; develop goals and measure overall progress.

• Presents strong communication and interpersonal skills.

• Be knowledgeable on sales, operations, and quality control procedures.

• Proficient computer skills in Microsoft applications.
