The University of Canberra Union (UCU) is a dynamic organisation providing conferencing, events, food & beverage services sporting, recreation, fitness and entertainment to the University of Canberra and general community. The organisation is entrusted with the day-to-day connection between students and the university and providing on-campus services to foster a great experience for all students.

General Description:

We are currently looking to recruit an experienced savvy full time Event Coordinator as an integral member of the UCU Conferencing and Events team.

The Role:

This role will be responsible for coordinating assigned events from start to finish preparing quotations through to event execution and post event evaluation.  This is a varied role comprising sales, event coordination and operations.  Previous experience using event reservation system software such as Event Pro or similar is a must, as this is an integral part of your daily role.

Your role is designed to support the Conferencing and Events Manager in the day-to-day operations of the Ann Harding Conference Centre. This includes generation of new business and maintenance of existing client base.

The role is ideal for an experienced Conferencing and Events individual who has a passion for sales and marketing, excellent attention to detail and exceptional customer service via phone, email and face to face.  

The successful applicant should have a thorough understanding of the hospitality industry and an enthusiasm to grow a business.

Duties:

  • Support the Events Manager to execute the events from concept to delivery.
  • Maintain client reservation system.
  • Manage and update social media.
  • Responsible for responding to client enquiries.
  • Prepare banquet event orders, provide quotations covering venue hire, menus and accommodation costs ensuring revenue is maximized.
  • Liaising with the operations team to ensure high quality, impeccable service and experience is provided
  • Assist with bump in and out of events.
  • Follow up new business leads and work towards securing leads as an ongoing client partnership.
  • Assist the Conference and Event Manager in the preparation and updating of departmental policies and procedures, event guidelines and marketing material.
  • Liaise with contractors and both internal and external stakeholders.
  • Provide regular progress and monthly financial reports to the Event Manager and document all new business enquiry.
  • Follow up on status of invoices.
  • Maintain apartment bookings (on the job training).
  • Attend networking events and trade shows when required after hours 
  • Ensure the presentation and cleanliness of the venue is maintained to a high standard

  • Excellent organisation and time management skills with professionalism.
  • Well presented and highly reliable.
  • Willingness to upgrade work-related skills and knowledge.
  • RSA Certified is desirable.
  • Food Safety is desirable.
  • Current driver’s license.
  • Must have full working rights in Australia -  working holiday visas will not qualify.
  • Proficient in an event bookings system i.e. EventPro and Microsoft suite.
