About the Role

Event Managers are specialists in their field with a commitment to exceptional client service and the ability to manage the pressure of a high volume workload. A strong commitment to accuracy and attention to detail is critical to this role along with an understanding of their available resources and how to utilise the expertise within their immediate and wider teams to support both the team's and client's overall outcomes and expectations. As we continue to grow, an increasing number of new clients will be welcomed into ETM. Event Managers are constantly presented with diverse skill sets and backgrounds, and must be able to bring their team together to work cohesively.



An Event Manager will generally be employed with event management experience along with experience in the travel industry. The percentage of international to domestic workload will depend on what our current and future clients are requesting and the external economic conditions. As with all our Consulting positions, service is the focus, while managing client's international and domestic travel arrangements. This could include air travel, accommodation, car hire and/or ancillary requirements to ensure all journeys are a complete success.



Key Responsibilities

  • Work with the Operational Team Manager (OTM) and client to ensure that the event brief and budget are fully understood and logistically sound and to provide proactive solutions when necessary
  • Establish correct systems and process from the outset to ensure timely, error free event management
  • Maintain accurate files, budgets & critical paths in order to adhere to deadlines and budgets, especially supplier attrition and cancellation deadlines as per signed contracts
  • Effectively negotiate and manage air, hotel, transport and other program components to ensure accuracy and seamlessness
  • Ensure all delegate data is accurately processed including travel and accommodation and monies held on file before payments are made
  • Respond to all client queries professionally and within agreed timeframes, ensuring client satisfaction with the response
  • Maintain effective communication per and post event with all stakeholders, to ensure the clients' needs are understood, are being met and proactive strategic solutions are being offered
  • Implement customer / event specific systems and processes to ensure accurate and efficient event management
  • Utilise leadership skills to develop and mentor Event Coordinators under your management
  • Identify margin improvement where possible to ensure company targets are met/exceeded
  • Ensure the service level framework based on the fundamental principal of professional service at all times is maintained
  • When service matters are identified recommend a solution or escalate the matter in a timely manner for support
  • Be fully accountable for the programs under your direction including ensuring the event brief / budgets are fully understood and logistically sound
  • Foster operational support relationships with the clients within your team
  • Maintain a comprehensive understanding of your clients' business, culture, strategy and direction in order to develop effective event solutions which meet our clients' objective and budgets whilst optimising profit through the effective use of preferred suppliers
  • Formally identify any operational issues hindering planned local or national progress, and transfer this information to your peers, then via the Head of Operations


Skills and Experience

  • A minimum of 3 years demonstrated event, conference and incentive management experience
  • Strong understanding of MICE business from operational perspective
  • Experience in leading/working within a team to achieve proven successful and measured results
  • Experience in using Sabre and Tramada - ideal but not essential
  • Knowledge of Events software EventsAIR
  • Good time management skills and good attention to detail
  • Excellent customer service and communications skills both written and verbal
  • Intermediate knowledge of Word, Excel and PowerPoint
