EVENT CO-ORDINATOR (BACKSTAGE)
WORKING BACKSTAGE TO DELIVER EXCEPTIONAL CULINARY EXPERIENCES FOR TOURING ARTISTS + ACTS.
The Bayleaf Group of Companies have an exciting opportunity for an experienced Event Co-Ordinator for our backstage + touring arm of our business.
This exciting and thrilling role will see you part of a team that delivers exciting events within our BACKSTAGE operation. You will be based at BANKSMEADOW.
To be successful, you will need;
Operational, logistical & production experience in catering
Previous experience in a similar role
Attention to detail and a strong customer service focus.
A professional manner with an ability to exceed client expectations
An in-depth understanding of operations and the smooth execution of events
Self-motivated and determination to succeed
To be able to maintain positive and productive communications
About you
We are seeking an experienced Hands On event co-ordinator who has been exposed to the management and effective running of our backstage operation.
Your responsibilities will include but not be limited to:
Assisting in running the day-to-day operations of the department in-conjunction with our Operations team.
Provide supervision and support to the Operations team to ensure smooth running of all functions
Develop, improve and maintain company policies & procedures
Liaise with relevant stakeholders (venues / clients / contracts) to build and maintain positive working relationships.
Liaises with kitchen and operations crew to ensure clear lines of communication are in play at all times.
Prepare purchase requisitions for the artists riders.
Work on the logistics to load in the event, deliver the event and bump out the event, with our Warehouse Manager.
Financial Responsibilities:
Monitor labour costs and other direct expenses keeping within budget
Responsible for weekly labour requisitions & producing internal departmental requisitions.
The Role
Reporting to the Leadership team, the role will be responsible, but not limited to:
To assist the Leadership team with event coordination from initial enquiry, catering estimates (quotes), contracting, event planning to invoicing.
Train, mentor and motivate staff in order to deliver excellent guest service
You will be responsible for liaising full event briefs to the operations department and to ensure details are communicated accurately to required operational standards and systems compliance.
Required skills & attributes:
Excellent time management and be able to prioritise your time and work load
Strong leadership skills is a must - will be required to manage, lead and motivate
Great communication skills, be well organised and have the ability to multi-task
Excellent written and oral communication
Strong administration and experience with all Microsoft packages
Ability to work flexible hours including evenings, weekends and public holidays
Current NSW Responsible Service of Alcohol Certificate essential
Current NSW drivers licence, manual - essential.
A solid understanding of WH&S and food safety legislation.
