The Opportunity

This is an ideal role for an individual who loves interacting with people and takes pride in being the first point of contact within a business, promoting its services in an exceptional manner and building strong long term customer relationships. 

 

An exceptional Receptionist is required to join our dynamic team to deliver a high level of service, manage the schedule of dentists and hygienists and ensure that the practice is running as efficiently and as organised as possible.

 

The Practice

 

We are a long-standing practice in the inner-eastern suburbs and we are proud to boast one of the longest-running hygiene departments in Melbourne. Facilities are new are modern.

Working with this dynamic and innovative dentist, you will be a part of a professional and very caring practice that excels in providing comprehensive and individualised dental services to patients.

The Role

The role is full time and salary is negotiable dependent upon the candidate’s previous skills and knowledge. 

Your duties and responsibilities will be:-

  • Provide an outstanding level of professionalism and service on the telephone and in meeting and greeting patients
  • Create a warm and welcoming environment to each and every patient, ensuring their time at the practice is a pleasant and friendly experience
  • Scheduling and effective management of patient appointments  (dental software is EXACT)
  • Ongoing co-ordination and management of patient appointments i.e. follow up cancellation appointments, follow up new patient appointments and new patient conversion appointments
  • Co-ordinate patient’s treatment plan and communicate with the patient at all times to answer any questions or concerns they may have in relation to the treatment 
  • Financial management of patient consultation payments, negotiating financial arrangements and co-ordinating patient payment plan payments
  •  End of day reporting, reconciliation and preparation for banking
  • Debt collection
  • Basic Accounts Receivable/Payable
  • Stock control management
  • Monitor practice results by preparing regular practice reports extracted from EXACT software
  • Co-ordinate all office facility maintenance
  • Effective and confidential management of patient dental records
  • Implementing and updating clinic policies and procedures
  • Provide basic support in relation to IT issues
  • Assist the Principal in developing marketing strategies/ideas to increase the profitability and growth of the practice

The ideal candidate will have the following attributes:-

  • Previous experience as a Receptionist/Co-ordinator working in a dental, medical or allied health environment would be highly regarded, but not essential.  However, a strong background in Customer Service/Reception is essential.
  • A high level of computer and IT skills. Including MS Office.
  • Thrives in a fast paced problem solving environment
  • Professionally presented, with a confident, well-spoken and friendly phone manner
  • A high level of communication and interpersonal skills to be able to interact with all levels of people
  • An ability to adapt to individual work styles and varying situations, with a flexible approach to work
  • A very lateral thinker that thinks outside of the square, solutions focused with the ability to be able to plan and strategize
  • Excellent organisational and time management skills to manage your time effectively, with a high level of attention to detail
  • Can work autonomously and have a proactive attitude
  • Very resourceful, takes a hands on approach at all times and happy to pitch in to get the job done
  • You are a team member that enjoys working in a team environment where everyone respects one another and helps each other to achieve the mutual goal
