The Clinic Plastic Surgery is a new and vibrant centre for Reconstruction and Cosmetic Surgery located in East Melbourne.
We are looking for a Personal Assistant/Medical Administrative Assistant to join our team and provide support to our plastic surgeon and also to our patients.
Roles:
- To meet patients and managing new registrations.
- To co-ordinate appointments to optimise work-flow of the business.
- To handle phone calls to other doctors, practices or hospitals to facilitate patient care.
- To perform clinical photography of patients.
- To perform specialist medical invoicing and attain informed financial consent from patients.
- The fast and accurate processing of dictated reports/letters.
- Diary/Scheduling Management including patient appointments and theatre bookings.
- To organise both elective and emergency Theatre bookings for surgeons.
- To assist in marketing and social media promotion of the practice.
- To assist in the co-ordination of promotional events for the practice.
- To perform general tidying of the practice to maintain a clinical and professional place of work.
- To oversee the replenishment of stock items, stationery and equipment of the practice.
- Other tasks required for the day to day management of the practice.
Requirements:
- Knowledge and Experience:
- Prior/current experience in a Medical Secretary position
- Good understanding and knowledge of medical terminology.
- Knowledge of billing and invoicing processes.
- Experience in customer service.
- Practical/Specialist skills:
- Working knowledge of Microsoft applications including Word, Powerpoint and Excel.
- Accurate and efficient typing skills.
- Knowledge of Genie Medical Practice Software and its utilisation.
- Other Skills/Competencies:
- Confidence when dealing with patients and proficient communications skills.
- Multi-tasking and good time management skills and the ability to meet deadlines.
- Ability to be a team player.
- A strong sense of accountability and a commitment to delivering quality service.
- A high level of attention to detail and commitment to quality.
- A commitment to staff and patient confidentiality.
Risk and Safety Management
Ensure the provision of a safe work environment, work practices and minimises risk to self, staff and patients.
- Maintain or exceeds standards of infection control and OH&S
- Ensures all work undertaken is within own capacity, experience and training and does not accept duties beyond own abilities or scope of practice.
- Takes immediate action to rectify any unsafe situations or acts, reporting all incidents and near misses directly to the business owner.
