Allocation and Assessment Officer
Role Purpose:
The Allocation and Assessment Officer supports the quality and timeliness of responses managed by the Department as a system manager in respect to Ministry, Executive, Ministerial and Parliamentary matters. The role is responsible for allocating and assessing responses, supporting the responding Branches to meet time and quality requirements in a busy and time pressured environment and identifying and implementing changes that support improvements in timeliness and quality.
Key accountabilities:
- Assess the request and allocate responsibility for the response to the appropriate responding Branch
- Provide support to the responding area using the systems knowledge of the Branch and identify information that may assist the responding area to meet quality and timeliness targets; and monitor and follow up on the progress of the response, identifying risks and escalating in accordance with business rules
- Assess responses against quality indicators, identify and analyse quality issues and work with the staff of branches to improve in the quality and timeliness of responses
- Assist in the management of internal guidelines, templates, standard responses and identify and manage compliance issues to ensure consistent high quality responses
- Support the Executive Director and executive team on correspondence and briefings to enable consistent and high quality responses.
- Administer the RM8 (TRIM) record management system for the Unit and monitor the daily registration records for accuracy and consistency
- Achieving high levels of customer service always in a high-volume environment
- Working with staff in branches to to facilitate timely and accurate responses to correspondence and to enable improvement in the quality and timeliness of documents prepared.
- Monitoring inbox to ensure requests are brought to the timely attention of the appropriate executive or manager for action.
