 Our Executive General Managers (EGM’s) are responsible for the leadership of their respective functions and hold the accountability to deliver frameworks, governance, programs and stakeholder management at a strategic level.

 

  • Queensland Rail's Executive Leadership team is seeking a highly experienced Executive Personal Assistant for their Executive General Manager (EGM) Safety, Risk & Assurance
  • This role is critical to the success of our new EGM in supporting our approach to Zero Harm and achieving our safety vision of Safety Comes First, Always.

 

 

Your primary objective will be to provide a high level of confidential executive research and decision support to the ELT representative, prioritising complex assignments, preparing accurate and timely documentation  and facilitating the effective and efficient operation of the Function.

 

The successful candidate will need to demonstrate resilience in a dynamic and at times intense environment. We are looking for an individual who has previous experience as a high performing Executive Personal Assistant in a corporate or public sector office.

 

This position is tailored for a self-starter, with high energy, who is polished and able to sensitively & confidently work across all levels of the business. Your strong relationship building, time management skills, unquestionable confidentiality and ability to use your initiative will ensure your success in this role. Due to the needs of the business, there will be requirements to work outside of normal business hours on occasion. This role is extremely busy and would suit someone who thrives working in a fast paced environment within tight timeframes and keep a level head in stressful situations.

 

Position Responsibilities (not limited to);

 

  • Manage business schedules and calendars, coordinate events  and conferences, make travel and accommodation arrangements, screen visitors and telephone enquiries and arrange meetings for the ELT representative to effectively allow them to carry out the role.
  • Co-ordinate the various aspects of administration support within the group, including the purchasing of equipment and office supplies in addition to ensuring effective and efficient administration support to the team.
  • Liaise between the Minister's office, Queensland Rail Board, Executive Leadership team members, business leaders, Union officials, senior Government officials and members of the public to ensure the efficient operation of the office.
  • Organise itineraries for conferences and functions undertaken by the ELT representative and co-ordinate the preparation of presentation material and speech notes if required.
  • Advise the ELT representative and SLT/GLT members of issues requiring their personal attention and take follow up action to ensure the successful completion of tasks (including preparation of routine responses).
  • Maintain an awareness of Executive Leadership team issues, responsibilities and priorities.
  • Provide confidential clerical, secretarial and administrative support to the ELT representative including word processing, attending to financial matters, managing cabcharge account, filing, sorting and mailing of correspondence, photocopying and message delivery.
  • Establish and maintain office management systems by prioritising and distributing correspondence, maintenance of correspondence standards and maintenance of an effective personal filing system.

Key selection criteria;

  • Proven experience providing executive level support
  • High level of written and verbal communication, interpersonal and negotiation skills with the ability to engage with stakeholders across all levels of the business managing matters of a confidential and sensitive nature.
  • Strong skills in email and diary management
  • Extensive knowledge of correspondence, submission proformas and procedures in use within Queensland Rail, governmental and Queensland Rail protocols, structures and operations.
  • Substantial level of organisational, problem solving and decision making skills.
  • Advanced Microsoft Office skills. This includes (Outlook, Word, Excel and PowerPoint) – experience with SAP advantageous.

Starting salary $90,000 plus Superannuation
