The position

We are seeking a Senior Contracts Administrator to become a key element within their Sydney Office.

Duties of the position:

  • Preparation of scope of works for each subcontracted section of works - review by the projects team
  • Ability to interpret drawings and specifications
  • Prepare sub-contract tender documentation, tender and tender assessment
  • Work through the basis of the tender eg time, methodology, costings, constraints, process etc
  • Assessment & processing of subcontractor payment claims and supplier invoices
  • Assessment & processing of subcontractor variations
  • Understand and utilise an inhouse data entry system
  • Ensure compliance with relevant budget requirements
  • Ensure accounts and invoices are in line with contractual obligations and then send to accounts for processing
  • Check that processes have been followed and that costs are allocated correctly in our Accounting System (Cheops)
  • Delivery dockets/work record, reconciliations to Project Manager
  • Ensure insurances are in place to cover off on compliance of the tender
  • Assist in compiling information to be incorporated into the relevant internal or external reports
  • Maintain and store records as determined by Project
  • Maintain Project Registers
  • Assist with project reporting
  • Understand contractual requirements for the Head Contract claims
  • Promptly attend to and manage claims/disputes


What they Are Looking For

  • As the successful applicant, you must have a proven record as a Contracts Administrator, having worked in a building organisation on a project above $20 million. You will need to be diligent, well presented and have excellent attention to detail.
  • Must have leadership capabilities to support and work with other Contracts Administrators.
  • An excellent communicator with great organisational, time management and great negotiation/influencing skills will be highly regarded.
  • You will be tertiary qualified and have worked on commercial projects in the past 5 years. You must have previous experience in using construction software such as BuildTools, BuildSoft, Primavera, Xpert, Excel, Word, Cheops or a similar cost management system.
