Citiwest Group is a 15-year-old expanding company, that's enjoyed growth in the residential and now, industrial sectors within metropolitan Melbourne. 

The role is designed to provide administrative assistance to the Project Supervisors and Company Director to support the day-to-day management of multiple projects, including but not limited to: administering tendering, purchasing, critical site information follow-up and the resolution of maintenance requirements.

As a key member of a small dynamic operations team, you'll focus on all preliminary requirements pre-construction, coordinating workflow and resources to achieve start-up, and collate all necessary reports and certificates to achieve completion.

Engage all necessary stakeholders on a day to day basis, building rapport and negotiating to facilitate smooth transition from sale, through project delivery and onto compliance.


The criteria of the position is as follows:

Duties:

1. Contract Administration - raising building contracts and submitting

2. Creating internal job files

3. Apply for Building permits and all other statutory permit required

4. Obtain preliminary documents such as plans, engineering, all certificates, colour selection etc..

5. Maintain project file and all documentation associated with.

6. Prepare job completion handover packs

7. Raising purchase orders for construction projects

 

You must have the following:

  • Outstanding communication skills displaying a high level of client liaison in order to ascertain client needs and expectations
  • Maintaining communication with management, supervisors and trade personnel
  • Excellent organisational abilities
  • Demonstrate strong computer skills
  • Strong problem solving, mediation and people management skills
  • A people person, diplomatic with customers
  • A person who works well with a small team of people.
  • Someone who can be firm when needed, and a respectful attitude towards all.
  • Ability to grasp technical specifications quickly
